Description
This position is responsible for coordinating and executing Tulsa Regional Chamber’s annual member events as defined in the Sponsorship Guide. This role also provides logistical guidance to other departments within the organization on special meetings and events. The Director of Events manages sponsorship fulfillment across the Chamber while staying within the established events budget. This role also supervises the performance and professional development of the Events Manager.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Manages all aspects of event planning and execution, ensuring alignment with organizational goals through strategic guidance on logistics, vendor management, and operations for events, including (but not limited to): Government Affairs, Community Development, Economic Development, and Resource Development.
- Monitors and evaluates event strategies, incorporating feedback, performance metrics, and industry best practices to drive innovation, improve member experience, and ensure alignment with the Chamber’s mission, vision, and strategic objectives
- Creates and maintains the Chamber-wide master event calendar.
- Manages all sponsorship fulfillment across the Chamber in line with the master events calendar.
- Maintains an events dashboard and leads quarterly financial reviews.
- Develops and maintains a master events budget in conjunction with the Senior Vice President of Communications.
- Coordinates post-event reconciliation with Finance.
- Manages event creation and deployment within Accrisoft content management system.
- Responsible for achieving a satisfactory rating annually relative to approved annual objectives and professional development.
- Performs other incidental and related duties as required and assigned.
Qualifications
KNOWLEDGE, SKILLS, AND ABILITIES:
- Requires a Bachelor’s degree or equivalent from an accredited college or university in a related field.
- Requires at least five years of relevant work experience in event planning.
- Strong verbal and written communication skills displaying high levels of tact and diplomacy.
- Strong financial acumen and the ability to develop and manage budgets.
- Ability to translate client needs into event deliverables.
- Commitment to high-quality service with a collaborative, cooperative approach.
- Organizational, analytical, and problem-solving skills.
- Ability to meet tight deadlines and to juggle multiple priorities, while flawlessly executing on projects in a fast-paced, often pressured environment.
WORK AND PHYSICAL REQUIREMENTS
- Work environment: Normally a typical office environment with people, with minimal exposure to excessive noise or adverse environmental issues, with occasional outdoor exposure to heat, cold, and environmental elements.
- Physical demands: Manipulate, handle, feel, and control items or equipment. Able to read, write, and interpret written documents. Occasionally lift and move objects weighing up to 50 pounds.
