Note: While this is primarily a remote position, team members must attend in-person training, occasional in-office work days, and may travel within Ohio (up to 25%) for state testing, site visits, or professional development events.
What You'll Do
As the Testing Coordinator at ChallengeU, you'll be the backbone of our assessment operations — keeping testing compliant, organized, and centered on student success. Your role will include:
- Testing Hub: Serve as the go-to point of contact for students, families, and staff on all things testing — schedules, requirements, and procedures via phone, email, and virtual meetings.
- Master Scheduler: Coordinate and schedule all state and school-based assessments — including ACT windows, DORP testing, STAR, OST, and OLEPS/OLEPA — keeping everything aligned with school calendars and state deadlines.
- Eligibility Guardian: Verify the student's eligibility and compliance with assessments, including age, enrollment status, accommodations, and documentation requirements.
- Records Keeper: Ensure testing records are complete, accurate, and submitted to the right systems on time — every time.
- Student Advocate: Monitor testing participation and proactively follow up with students and families to address missed assessments, incomplete testing, or technical hiccups.
- Score Mailer: Coordinate the twice-yearly mailing of student EOC score reports to families. Managing the full process in partnership with the central office team to ensure every student’s results are packaged accurately and sent on time.
- Team Collaborator: Partner with teachers, counselors, coaches, and admin staff to support student readiness and ensure testing accommodations are in place and documented.
- Data Driver: Maintain accurate testing activity records, generate reports, and track outcomes to support compliance and school-wide academic planning.
Who You Are
- A seasoned communicator — able to clearly convey complex information to students, families, and staff across multiple channels.
- Confident managing high-volume, external-facing communications with schools, state agencies, and testing vendors.
- Highly organized and skilled at juggling multiple testing windows, schedules, and admin priorities in a fast-paced virtual environment.
- Detail-oriented with a sharp eye for accuracy in testing records, data entry, compliance reporting, and audit readiness.
- Proactive and solutions-driven — able to independently resolve complex issues while knowing when to escalate.
- Collaborative and strategic, able to work closely with academic, counseling, and admin teams to ensure equitable student outcomes.
What You'll Need
- High school diploma or equivalent required; associate or bachelor's degree in education, school administration, or a related field strongly preferred.
- Proven experience in K–12 or higher education administration, with a focus on student assessment coordination, records management, or office operations.
- Demonstrated expertise in managing multiple virtual platforms, student information systems, and assessment technologies.
- Proficiency with Google Workspace, Microsoft Office Suite, HubSpot (or similar CRMs), DASL/SIS, and other digital tools for student data and testing management.
- Based in Ohio, with the ability to travel occasionally (up to 25%) for state testing, site visits, or professional development.
- Valid driver's license and reliable transportation.
- Prior experience in virtual schools, dropout recovery programs, or online learning environments strongly preferred.
- Strong organizational, analytical, and problem-solving skills with a proven ability to manage complex testing operations and meet strict deadlines.
- Knowledge of testing compliance, state reporting requirements, and student accommodations is highly desired.
