Job Description: The HR Assistant / AbilityOne Compliance Assistant provides administrative and clerical support to the Human Resources Department while assisting the organization in maintaining compliance with AbilityOne Program requirements, including those outlined in 41 CFR 51-4.02 (Compliance), 51-4.03 (Investigations), and 51-4.06 (Quality Assurance).
This position supports HR operations by maintaining employee records, assisting with compliance documentation, and supporting processes such as Documented Qualification Determinations (DQDs), Personal Evaluation Instruments (PEIs), Quality Evaluation Reports (QERs), disability eligibility documentation, and other required AbilityOne compliance activities. The role helps ensure accurate recordkeeping, audit readiness, and compliance across all AbilityOne contract sites.
Responsibilities and duties of this position include but are not limited to:
- Provide administrative and clerical support to the Human Resources Department including filing, data entry, document preparation, scheduling, and maintaining organized employee records.
- Maintain and update employee personnel files and compliance documentation including disability documentation, job matches, eligibility files, direct labor hour records, and required AbilityOne documentation.
- Assist with onboarding documentation, employee forms, and tracking of required employee paperwork to ensure files remain complete and compliant with internal policies and AbilityOne requirements.
- Track, maintain, and organize Documented Qualification Determinations (DQDs), including preparing files, monitoring expiration dates, and notifying supervisors or HR leadership when reassessments or updates are required.
- Maintain tracking logs for Personal Evaluation Instruments (PEIs) and other required evaluations, collect completed assessments, review for completeness, and file documentation within employee records.
- Assist supervisors and HR staff by following up on required documentation deadlines including evaluations, compliance forms, and employee records.
- Support compliance monitoring activities by maintaining organized documentation for Quality Evaluation Reports (QERs), quality assurance inspections, corrective action reports, and site visit notes.
- Assist with preparing, organizing, and maintaining documentation needed for internal audits, AbilityOne reviews, and compliance inspections.
- Assist HR leadership with compiling compliance-related reports, tracking data, and organizing documentation for quarterly, annual, and audit-related reporting.
- Maintain both electronic and physical filing systems to ensure compliance documentation is organized, secure, and readily available for review.
- Distribute compliance forms, updates, and documentation requirements to supervisors and staff as directed by HR leadership.
- Provide clerical support for HR meetings and training sessions including preparing materials, maintaining attendance records, and assisting with follow-up communication.
- Maintain strict confidentiality when handling sensitive employee information, HR records, and investigation documentation.
- Perform additional administrative, HR, or compliance-related duties as assigned by the VP of Human Resources or senior leadership.
- Other duties as assigned.
Knowledge, Skills & Abilities
- Strong attention to detail and accuracy in filing, recordkeeping, and data entry.
- Ability to maintain confidentiality and handle sensitive employee information with professionalism.
- Basic understanding of, or willingness to learn, AbilityOne Program requirements.
- Proficiency with Microsoft Office 365 (Word, Excel, Outlook) and electronic filing systems.
- Strong communication and follow-up skills.
QUALIFICATIONS
- High school diploma or equivalent required; Associate degree or related field preferred.
- Ability to read and write the English language.
- Experience in clerical, administrative, HR, or compliance support roles preferred.
- Experience with AbilityOne or disability employment programs is helpful but not required.
- Ability to pass a local and Level II Background check
- Ability to follow all HIPAA confidentiality laws and organizational privacy policies.
