Compensation: $28–$32 per hour, depending on experience, plus performance-based bonus opportunities.

About the Position

Chalekson Plastic Surgery | MedSpa is seeking an exceptionally organized, proactive, and resourceful Executive Operations Coordinator to work closely with our Chief Operating Officer (COO) in supporting daily operations, managing projects, and implementing initiatives that contribute to the continued growth and success of our practice.

This is a hands-on position for someone who enjoys bringing organization to a busy environment, turning ideas into action, solving problems, and seeing projects through to completion.

The Executive Operations Coordinator will serve as a trusted extension of the COO, helping oversee administrative operations, support staff, improve systems, and provide thoughtful input on operational decisions.

Key Responsibilities

• Manage administrative and operational projects from planning through completion.
• Develop and maintain organized systems, workflows, and office procedures.
• Support staff training, onboarding, daily guidance, and accountability.
• Help coordinate daily operations and address routine staff and workflow issues.
• Coordinate marketing materials, patient communications, promotions, and events.
• Support MedSpa memberships, new service launches, and patient retention initiatives.
• Coordinate vendor relationships, skincare inventory, supplies, and practice technology.
• Maintain accurate, current patient forms, educational materials, and office resources.
• Identify opportunities to improve efficiency, organization, and the patient experience.
• Provide operational insight and recommendations to the COO.

Qualifications

• Minimum two years of experience in administration, operations, project coordination, or a related field.
• Experience coordinating projects and improving organizational systems.
• Strong computer skills and the ability to learn new technology.
• Experience supervising, training, or leading staff is preferred.
• Experience in healthcare, plastic surgery, medical aesthetics, hospitality, or professional services is preferred.
• Familiarity with Canva, electronic medical records, and practice-management software is a plus.

Position Details

This is a part-time, on-site position in Templeton, California, approximately 32 hours per week, with occasional availability for events or training outside regular business hours.

Compensation: $28–$32 per hour, depending on qualifications and experience, with opportunities for performance-based bonuses.
