Summary: The role of an Administrative Assistant is important to the success of the Executive Director and to CGA. The Executive Assistant provides support to the Executive Director and leadership of CGA with a variety of tasks, including scheduling; reviewing, prioritizing and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings, marketing, social media any other tasks that support the Executive Director and CGA. The Executive Assistant will filter and attend to day-to-day functions that are part of the ED’s role so that the executive can focus on higher level organizational functions. About the Casa Grande Community Resiliency Coalition and CGA, Inc. The Casa Grande Community Resiliency Coalition is a 30 member community-based prevention and resiliency development coalition that was founded in 1989. In December 2007, the coalition formed a nonprofit, charitable organization to serve as the organizational arm of the coalition. Until recently, the focus of CGA, Inc. has been to provide prevention education and awareness services, treatment resource information, coalition mentoring and administrative support to the Casa Grande Alliance and other prevention coalitions. These coalitions provide a framework to critical issues through effective prevention strategies. With increased knowledge of ACEs (Adverse Childhood Experiences), we are transitioning to becoming a more trauma informed and responsive organization that focuses on building strengths-based and protective services within the community.

ESSENTIAL DUTIES AND RESPONSIBILITIES: In conjunction with CGA, Inc., the position assumes responsibility providing assistant support for all Projects at the agency, including:
1. Manage scheduling
2. Microsoft program, including Canva
3. Organize and prepare for meetings, including gathering documents and attending to logistics of meetings, including meeting communications and meeting notes/minutes.as needed
4. Answer and respond to phone calls, attending to walk in clients, communicate messages and information to CGA leadership
5. Prioritize emails and respond when necessary
6. Maintain various records and documents
7. Develop and distribute flyers, social media posts, website updates and other relevant communications.
8. Must have, or obtain, an Arizona DPS Fingerprint Clearance card (based on ADHS/DBHS guidelines) within 60 days of hire. May be subject to additional investigations such as driving record, criminal history and background check.
9. Must have reliable transportation and maintain adequate automobile insurance coverage. May be required to transport community members or youth as part of community activities or events.
10. Serves as at representative in the community, including preparing and distributing meeting minutes, programmatic updates, and other appropriate communiqués.
11. Researches, identifies and assists with writing corporate, foundation and government grants and otherwise assists with agency fundraising.
12. Performing bookkeeping duties as assigned.
13. Tabling for agency , some weekend and evening
14. Other duty as assigned

Qualifications (some information is repeated) : Associates degree or High School Diploma with at least three (3) years' work experience in related fields, or a combination of education and experience Excellent written and verbal communication skills Strong time-management skills Ability to pay attention to detail Strong organization skills Ability to multitask Good understanding of frequently used computer software and programs, such as Microsoft Office, Survey Monkey, Constant Contact, Canva, etc. Interpersonal skills Knowledge and experience with volunteer engagement practices Business English, spelling, punctuation, and grammar required Filing and record keeping electronically and hard copy Ability to represent the organization in a professional and appropriate manner Ability to work independently as a professional Follow written and verbal instructions Effective verbal and written communication skills Establish and maintain effective working relationships with employees, other agencies, and the public Ability to thrive in an open, transparent and healthy, work culture Establishes and maintains positive and productive working relationships within and outside of own area and background Identifies and resolves disagreements/conflicts in early stages Promotes a safe, equitable, respectful environment in which concerns can be addressed effectively Recommends changes to work practices and policies to promote transparency and approachability Good sense of humor Bilingual Spanish (preferred)
