What are the responsibilities and job description for the Development Operations Manager position at CFP BD OF STANDARD CTR FOR FINANCIAL PLANNING?
General Function:
The Development Operations Manager will focus on creating, maintaining and optimizing fundraising operations that support, guide and enable CFP Board to grow corporate and individual giving. Reporting to the Senior Account Manager, Development, the role will manage gift processing and oversight, donor prospect research, moves management tracking, and reporting. The Development Operations Manager will be responsible for the accuracy and timely handling of all gift information in support of CFP Board’s program strategies and initiatives. This is primarily a back-end systems role with some limited donor interaction based at the CFP Board headquarters in Washington DC.
Key Accountabilities:
- Ensure every donation or pledge is accurately recorded and processed promptly.
- Verify donor information by correctly categorizing and coding donations and maintain comprehensive and accurate records in the donor database.
- Generate timely acknowledgements and receipts to donors, which are essential for maintaining donor satisfaction and compliance with legal and regulatory requirements.
- In partnership with Finance, establish and execute processes for invoicing donors and tracking progress on multi-year pledges.
- Maintain and strengthen relationships with Corporate and individual Donors by successfully utilizing customer relationship management and performing ongoing research on current and potential corporate partners.
- Support and track all moves management activity.
- Run all financial action reports.
Major Responsibilities:
- Maintains data for all prospects/donors in NetForum and Salesforce database and records all donor interactions.
- Manages the following daily tasks:
- Entering, recording and receipting all gifts made to CFP Board with the expectation of committing all gifts within 1-3 business days of receipt.
- Preparing all acknowledgement letters with the expectation of delivering them to donors within 2-3 business days of gift receipt.
- Answering and assisting all donors and prospects that call seeking to make a gift or with inquiries of an existing pledge.
- Reminding all donors of upcoming pledge payments through printed and electronic communications.
- Resolving issues related to credit card transactions, i.e. credit card errors, declines and invalid credit cards.
- Reviews and completes all gift adjustments.
- Ensures all pledges are documented, with pledge forms stored appropriately.
- Manages pledge payment tracking, acknowledgements, reminders and follow-up processes for donors with multi-year financial commitments.
- Regularly coordinates with Finance and Accounting team to ensure all gifts are entered accurately and the correct information is documented.
- Establishes, enforces and monitors daily business process controls designed to safeguard the integrity of finance-related data in cooperation with the Finance and Accounting team.
- Performs occasional process audits and provides reports and metrics to maintain data processing standards.
- Manages systems and software, including our donor database and wealth screening tools to track and cultivate donors and prospects.
- Stays current on industry technology, data management practices and tax/legal issues related to gifts processing and constituent records.
- Oversees management of confidential records of financial and in-kind donors, their giving histories, and other personal information.
- Understands donor trends and shares insights with the development team and key leaders to identify opportunities to move donors along the engagement continuum, focusing on strong donor retention and moves management.
- Develops reports and dashboards to inform staff, board and supporters of fundraising progress.
- Conducts prospect research on individuals, corporations and foundations; prepares meeting briefs and presentations; drafts written proposals; compiles sponsorship fulfillment and stewardship reports; and coordinates the delivery of sponsorship benefits.
- Executes donor and prospect meetings, including managing logistics and liaising with program staff, and assisting with meeting follow-up
- Works with the Marketing and Communications departments to update the development sections of the organization’s website, direct response appeals, press releases, communications plans, and social media.
- Develops and deploys processes and procedures to increase productivity, efficiency and effectiveness.
Background/Skills/Abilities Preferred:
- Bachelor's degree from an accredited institution, preferably in a related field
- A minimum of 3-5 years of experience in CRM database management or fundraising, (Salesforce experience strongly preferred)
- High level of professionalism and ability to work well with all levels of internal management, staff and volunteers
- Strong donor focus, attention to detail and high-quality work
- Proven track record with previous non-profit(s) and the ability to successfully support fundraising, create presentations, manage development processes, and fulfill corporate donor information requests
- Demonstrated ability in high-level project management
- Superior written and oral communications skills, with keen attention to detail
- Passion for the mission of the Center for Financial Planning and the ability to communicate its urgency and impact
- Excellent time and project management skills; self-starter able to work independently, accurately and on schedule and serve as an effective member of a team
- Tactful exercise of judgment and discretion with sensitive and highly confidential information
- Excellent interpersonal skills; high degree of emotional intelligence; demonstrated ability to relate well with individuals, both internally and externally

CFP Board is an Equal Opportunity Employer. The applicable starting annual base salary is anticipated to be in the range of $64,000 to $77,000. In addition to base salary, total compensation includes incentive compensation for which employees are eligible based on completion of individual goals.
