Cetera Financial Group is currently seeking an Sr. Office Services Associate for our Dallas, TX location. This is a unique opportunity to join our team to deliver world class customer service to our colleagues and clients.
What you will do:
- Assist with managing budgeting for home office hand branch expenses.
- Understand and assist with vendor setup and payment processing for home office.
- Maintain departmental financial records.
- Manage and maintain key box inventory for home office
- Assist with vendor management.
- Identify and implement process improvements.
- Ensure breakroom supplies and equipment functionality.
- Provide receptionist coverage as needed.
- Perform general office tasks (word processing, filing, equipment operation).
- Monitor and replenish supply inventories.
- Collaborate with Building Engineer on work orders.
- Arrange equipment repairs and maintenance.
- Collaborate with Corporate Security team when called upon.
- Maintain upkeep of gym equipment and supplies.
- Track and respond to ServiceNow requests.
- Communicate with departments to resolve issues.
- Assist with conference room setups and minor facilities tasks.
- Support scheduled and ad hoc projects.
- Maintain accurate floor plans and headcount through audits.
- Ensure compliance with policies and safety regulations.
- Perform other duties as assigned.
- All responsibilities are on-site.
What you need to have:
- Education & Experience:
- At a minimum, a High School Diploma or equivalent is required.
- Minimum 2 years in a corporate reception and/or office administrative position is preferred. Any equivalent combination of training and experience which provides the required knowledge, skills and abilities to perform the job requirements is also acceptable.
- Proficiency in Microsoft Office (Word/Excel/Outlook) is required.
- Must have excellent written, verbal and oral communication skills:
- The Office Services Associate communicates effectively with colleagues, vendors, and management to ensure proper coordination of tasks.
- The Office Services Associate will be working with customers over the phone and face to face and will require great attention to detail.
- Ability to multitask:
- Our ideal candidate will need to have the ability to work on various tasks at the same time and complete them without errors.
- Able to lift up to 50 Lbs.
- Ability to work under pressure of deadlines and time constraints:
- Our Office Services team has several deadlines to meet throughout the day. Often times, there will be changes that cause time constraints which are outside of our control. Effective planning and time management will help reduce the likelihood of unexpected situations.
- Experience working with Oracle or equivalent procurement system:
- The Office Services Associate will assist with the processing of department vendor payments.
- Our ideal candidate will have experience with entering purchase requisitions in Oracle and/or similar procurement system and processing invoices against assigned purchase orders (PO’s).
- Excellent customer service skills and an open, courteous and friendly personality required.
- Excellent oral and written communication skills.
- Must be able to efficiently handle multiple tasks concurrently while meeting deadlines, prioritizing tasks and providing excellent customer service.
- Highly detail oriented.
Compensation:
The base annual salary range for this role is $23.56 to $34.13 hourly, plus a competitive performance-based bonus. Base annual salary depends on a wide array of factors, including but not limited to skill set, years and depth of experience, certifications, and location. Base annual salary may also differ significantly due to geography and cost of labor considerations.
