What are the responsibilities and job description for the Rehab Liaison position at Cesar Chavez Foundation?
Summary
This position is a long-term temporary position to assist both management and residents while going through the Rehab process. These are additional services provided by CCF Property Management. The duties will be a mixture of routine and unexpected in nature. The person who fills this position needs to be thorough and able to plan. They need to be able to problem-solve without much oversight. This person needs good communication skills and boldness while cooperating with multiple departments.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Attend weekly construction meetings with Management, Development, and Greenfield Construction.
- Meet with tenants 4-6 weeks before their phase, provide thorough instructions, answer questions, inspect units for pest extermination, and assess how many boxes are needed
- Order packing materials 6 weeks before the move
- Pass out boxes 4 weeks before move –
- Inspect the units 2 weeks after you give them the boxes to make sure that they are starting to pack
- One final inspection is scheduled for the morning of the day before move-out. If they are still not done, give them a deadline. Nobody should be packing the day of move-out; it will slow down the POD packing.
- Submit voucher requests to AP, if necessary –
- Schedule a moving company
- Make arrangements for pets
- Schedule extermination of PODS
- Register families with the Hotel –
- Hotel coordination requires a lot of relationship building before the rehab starts. Make sure to find a reliable hotel with an Owner who is willing to work with a fluid situation.
- Create a list of each phase and the corresponding household size.
- Visit the hotel, meet with the owner so that they understand our needs, and we can have a flow of invoices and checks that work for both our Accounting team and the Hotel.
- Meet with tenants the day of move-out
- Stay with the tenant while belongings are moved to the POD
- Walk the unit with the tenant after it is empty
- Make sure the tenant has medicine, medical equipment, family heirlooms, kitchenware, etc, with them
- Have the tenant sign the paperwork
- Give tenant checks for food, if necessary
- Confer with Construction to make sure things are on schedule.
- Walk units with Construction and do the punch list on Tuesday before MI and again on Thursday before MI
- Meet with tenants the day of move-in
- Walk with the resident and have them sign the unit inspection form
- Stay with the tenant while furniture is moved back into the unit
- Have the tenant sign the paperwork and get keys
- Give a copy of the Unit Inspection to Management for them to put in the Tenant file
- Schedule extermination of PODs again on the day the PODS are emptied
- Make corrections to files as directed by Compliance during Rehab and MI/MOs
Repeat each cycle of the Rehab Phase
