Nature of Work
Supports and facilitates all components of the proposal process to ensure both accuracy and visual quality in response to commercial and private requests by researching and preparing materials specific to the respective Requests for Proposal (RFP), Requests for Qualifications (RFQ), Letters of Interest (LOI), pre-qualifications and in-person presentations.
Essential Duties & Responsibilities
- Identify personnel involved, communicate responsibilities, and gather appropriate information specific to each proposal and/or presentation.
- Interface with and coordinate information from multiple departments, such as Marketing/Business Development, Estimating, Safety, Operations, Accounting, and in some cases, outside organizations or vendors.
- Prepare proposal development schedules and ensure that deadlines are met.
- Coordinate production and the distribution of all proposal documents to appropriate internal and external stakeholders for approval.
- Deliver a quality product uniquely designed to meet the requirements of each request.
- Organize documents and track past proposal materials for future use; format for multiple offices to access and utilize.
- Prepare advertisements, brochures (both electronic and print) and general marketing collateral as necessary to support the efforts of the company.
- Maintain marketing collateral to keep information relevant and current with ongoing project information.
- Update Company Intranet and website as required.
- Maintain, update, and develop Client Relationship Management (CRM) information to include project experience, personnel resumes, and reports.
- Requires proficiency in the use of proposal/presentation technologies to include Microsoft Word, PowerPoint, Excel, Adobe Creative Suite (Photoshop, InDesign & Illustrator) or similar.
- Promote the company safety culture and safety awareness throughout the company, projects, or office
- Utilizes relevant company technology to support all assigned responsibilities.
- Exercise initiative or as directed, perform additional duties to meet the needs of the organization.

- A minimum of a bachelor’s degree from a four-year college or university, or equivalent experience
- 1 years or more of related work experience preferred
- Must be able to lift up to 10 pounds
- May require periods of overnight travel

- Occasional activity: standing, walking, bending, reaching above shoulder
