What are the responsibilities and job description for the Client Experience Coordinator position at CENTURY 21 Limitless?
Client Experience Coordinator
About the Role
We are looking for an exceptionally warm, organized, and hospitality-minded person to join our team as a Client Experience Coordinator.
This is not a traditional administrative role. We are looking for someone who naturally makes people feel welcomed, cared for, and taken care of — someone who notices details, anticipates needs, thrives in fast-paced environments, and enjoys creating memorable experiences.
Think: restaurant hostess, hotel concierge, guest relations, luxury retail, executive hospitality, event coordination.
You will help support our agents and clients throughout the home buying and selling process by coordinating schedules, communicating with clients, helping transactions move smoothly, and creating a thoughtful, high-touch experience from beginning to end.
What You’ll Do
- Serve as a warm, welcoming point of contact for clients throughout their home journey
- Coordinate agent schedules, appointments, showings, meetings, and important deadlines
- Help create a seamless, concierge-level experience for buyers and sellers
- Coordinate inspections, walkthroughs, appraisals, photography appointments, closings, and vendor scheduling
- Communicate with clients, lenders, attorneys, inspectors, and vendors to ensure everyone feels informed and supported
- Prepare and organize paperwork and transaction documents with guidance and training provided
- Follow up thoughtfully with clients and anticipate needs before they become problems
- Support agents with operational tasks so they can spend more time advising and serving clients
- Help maintain an organized, polished, service-oriented environment across the brokerage
Who You Are
You are someone who genuinely enjoys taking care of people.
You may have worked in restaurants, hospitality, luxury retail, hotels, event planning, guest services, executive support, or another fast-moving service environment. You stay calm under pressure, love organization, and naturally make people feel comfortable.
You likely:
- Love creating exceptional experiences for people
- Are warm, polished, and highly professional
- Notice details others miss
- Thrive in fast-paced environments with many moving parts
- Are proactive and naturally anticipate needs
- Communicate clearly and confidently
- Enjoy organization and keeping things moving smoothly
- Learn technology quickly and are comfortable using systems and software
Real estate experience is not required. In fact, we are happy to train the right person. Hospitality experience is highly valued.
What Success Looks Like
Success in this role means clients feel cared for, agents feel supported, and everything runs smoothly behind the scenes.
You are the calm presence that keeps moving parts organized, makes people feel welcome, and elevates the overall client experience. You notice the small things, follow through consistently, and take pride in creating moments that people remember.
Compensation
Competitive compensation based on experience with opportunities for growth inside a fast-growing real estate organization.
