Executive Assistant, Communications and Events
Location: Centre LGBT State College, PA
Reports To: Executive Director
Employment Type: 20 hours/week, FIXED & FLEXIBLE HOURS REQUIRED
Salary: $17.50/hour starting
Communications & Marketing
- Develop and implement social media content across organizational platforms.
- Create graphics, flyers, promotional materials, and digital assets.
- Coordinate organizational marketing campaigns and promotional strategies.
- Design newsletters and email communications.
- Maintain consistent organizational branding across print and digital materials.
- Monitor social media engagement and respond to community inquiries as appropriate.
Event Planning & Project Management
- Serve as lead coordinator under the direction of the Executive Director for organizational events, including fundraisers, educational programs, and community gatherings.
- Develop event timelines and project plans.
- Coordinate vendors, entertainers, speakers, sponsors, and exhibitors.
- Manage event registration, logistics, and communications.
- Coordinate event marketing and promotional campaigns.
- Work with Volunteer Coordinator to assist with volunteer recruitment and scheduling for events.
- Develop post-event evaluations and recommendations for future improvements.
- Support fundraising event planning and execution.
Community Engagement & Outreach
- Promote organizational programs, services, and events throughout the community.
- Build relationships with community partners, businesses, and collaborating organizations.
- Coordinate outreach activities and represent Centre LGBT at community events.
- Assist with sponsorship outreach and recognition.
- Help identify opportunities to expand community engagement.
Shared Assistant Responsibilities
Front Desk & Visitor Services
- Welcome visitors and provide information about programs and services
- Answer phones and respond to general inquiries
- Monitor reception area
- Receive deliveries and maintain office organization
Program Support
- Schedule and assist with Gender Affirming Closet appointments
- Respond to general emails
- Connect community members with appropriate resources
- Represent Centre LGBT at events as needed
Event Support
- Assist with setup and breakdown for events
- Support event logistics
Administrative Support
- Assist with meeting preparation
- Take meeting notes when needed
- Prepare printed materials
- Prepare, edit, and format documents, reports, presentations, and correspondence as requested
- Complete miscellaneous administrative projects
- Handle confidential and sensitive information with discretion and professionalism
- Maintain office records, including files, contact lists, and databases, ensuring accuracy and accessibility
- Attend monthly staff meetings
Qualifications
Education & Experience:
- Associate’s degree or equivalent experience in a related field. (Experience is considered)
- Minimum of 1 year of experience in a staff support role, preferably in a non-profit or mission-driven organization.
Skills & Competencies
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Canva, Hootsuite) and familiarity with project management and communication tools.
- Ability to work independently with minimal supervision and as part of a team.
- High level of integrity and ability to handle confidential information.
- Commitment to the mission and values of Centre LGBT , ability to represent organization in a professional and focused manner.
