Position Overview: The Central Virginia United (CVU) Club Manager plays a key role in ensuring the efficient and smooth operation of the club’s day-to-day activities. This position will manage financial tasks, player registration, policy development, communication, event planning, and other administrative functions. The Club Manager will collaborate with club leadership, board members, families, and external stakeholders to support the growth and success of the organization while maintaining a strong commitment to CVU’s mission. This position may be split into several positions based on candidates' qualifications and pay will be commensurate to job responsibilities.
Key Responsibilities:
Financial Management and Bookkeeping:
- Oversee and manage the club's financial operations, including budgeting, invoicing, expense tracking, and financial reporting.
- Ensure accurate and timely bookkeeping of all transactions.
- Monitor cash flow and make recommendations for fiscal health and sustainability.
Player Registration and Management:
- Coordinate and manage player registration processes, ensuring accurate and up-to-date records.
- Maintain player rosters and keep track of individual player’s participation, fees, and schedules.
- Communicate registration deadlines and requirements to families and players.
Developing Policies and Procedures:
- Create, implement, and update club policies and procedures to ensure smooth operations.
- Work with the board and club leadership to ensure policies are aligned with the club’s values and regulatory requirements.
Managing Mail and Communication:
- Handle incoming and outgoing mail, including important club communications, correspondence with families, and external entities.
- Maintain effective communication with families, players, team managers, and staff.
Calendar Management:
- Maintain and update the club’s master calendar of practices, games, events, and meetings.
- Ensure timely communication of calendar updates to all stakeholders.
Social Media and Marketing:
- Manage and grow CVU’s social media presence (e.g., Facebook, Instagram, TikTok) to promote the club’s activities, events, and news.
- Develop and execute marketing strategies to increase awareness and engagement with the club.
- Ensure consistency of messaging across all platforms.
Compliance with League Rules and Regulations:
- Stay updated on league rules, regulations, and guidelines, ensuring that CVU operates in full compliance.
- Communicate any changes in regulations to board members and adjust processes as needed.
Club Records and Documentation:
- Maintain and organize club records, including financial records, player documentation, meeting minutes, and other important files.
- Ensure all documents are properly stored and accessible for review and auditing purposes.
Event Planning and Execution:
- Coordinate logistics and planning for events such as tournaments, fundraisers, team-building activities, and other club-related functions.
- Work with staff and volunteers to ensure event success, from inception to completion.
Logistics and Operations:
- Work with the Director of Coaching to oversee the logistics of practices, games, and events, ensuring all equipment, fields, and supplies are available and in good condition.
- Ensure the smooth, consistent operation of all day-to-day functions.
Reporting and Data Management:
- Build and maintain reports on club activities, financials, player participation, and other key metrics.
- Regularly update leadership on the status of administrative functions, finances, and program development.
Support Administrative Functions:
- Provide general administrative support to CVU’s leadership team.
- Assist in special projects, including fundraising, volunteer coordination, and membership engagement.
Skills and Qualifications:
- Proven experience in administration, preferably in a nonprofit or sports organization.
- Strong financial management skills, including bookkeeping and budgeting.
- Excellent organizational skills with the ability to manage multiple tasks and deadlines.
- Strong written and verbal communication skills.
- Proficiency in social media platforms and digital marketing strategies.
- Knowledge of youth sports leagues and regulations is a plus.
- Ability to work independently and as part of a team.
- Detail-oriented with a proactive approach to problem-solving.
- Familiarity with Microsoft Office Suite, Google Workspace, and other administrative tools.
- A passion for youth development, sports, and community building.
Pay: $15,000.00 - $35,000.00 per year
