Seed Administrator - Kansas Regions (multiple location options)

Purpose

The Seed Administrator plays a vital role in supporting the day-to-day execution of seed operations for assigned locations. This position ensures accuracy and efficiency in seed ordering, inventory tracking, grower billing, and documentation across the seed process, helping minimize inventory variances and maintain data accuracy throughout the season.

ESSENTIAL DUTIES AND RESPONSIBILITIES

 Seed Ordering & Inventory Management

• Order seed directly from manufacturers based on seller input through the Seed App.
• Create and manage purchase orders (POs) for incoming and return shipments.
• Receive and record all seed deliveries into the inventory system.
• Monitor and reconcile inventory variances, maintaining accurate stock levels for each location.
• Prepare sort sheets for warehouses (grower-specific seed sizes and lot numbers for palletizing and delivery).

Grower Billing & Returns

• Invoice growers for seed deliveries and manage credits for returns.
• Process and submit replant forms to brand representatives, ensuring all details are accurate and complete.
• Manage soybean dump documentation and associated inventory updates.
• Support seed financing paperwork submittal, tracking, and fund requests in collaboration with the Seed AP team.
• Ensure all external seed financing documentation (CFA, JDF, Rabo, etc.) is accurately completed and submitted for timely reporting and fund pulling on behalf of growers.

Invoice & System Management

• Receive, code, and submit all seed-related invoices to the inventory system for assigned locations.
• Collaborate with the Seed Accounts Payable team on vendor payments.
• Maintain organized, up-to-date records of all seed transactions and related activity.

Coordination & Communication

• Work closely with Seed Coordinators, RSMs, Sellers, and Warehouse teams to ensure alignment on inventory, deliveries, and grower plans.
• Adjust seed supply and order quantities as grower plans change.
• Communicate timely and clearly across departments to ensure data accuracy.
• Provide first-line contact for seed-related inquiries from internal and external stakeholders.

REQUIRED SKILLS AND KNOWLEDGE

• High School Diploma or equivalent required; associate degree or higher preferred.
• 2 or more years of experience in agriculture, seed, or inventory management highly preferred. 
• Strong attention to detail and accuracy in data entry and record keeping.
• Takes responsibility for the way money and resources are used and managed.
