RESPONSIBILITIES
Front Office / Patient Service Representative
- Welcome and check in patients, ensuring a positive and efficient patient experience
- Verify demographics, insurance eligibility, and referrals as needed
- Collect copayments and outstanding balances
- Schedule appointments and manage a 3-provider schedule within Epic
- Coordinate same-day appointments and optimize patient flow
- Check out patients and arrange follow-ups, referrals, and testing
- Accurately document all interactions in Epic
Clinical Support
- Room patients and obtain/document vital signs
- Perform medication reconciliation in Epic
- Prepare charts and ensure completeness prior to provider visits
- Assist with prior authorizations (medications, imaging, procedures) using Epic workflows and payer portals
- Communicate with pharmacies, insurers, and patients regarding authorization status
- Maintain exam room readiness, cleanliness, and supply levels
- Support providers in maintaining efficient clinic flow
Administrative & Operational Training
- Learn daily operations of a small 3-provider practice, including staffing coordination and workflow management
- Assist with Epic-based reporting, in-basket management, and task routing
- Gain exposure to billing processes, charge capture, and basic revenue cycle concepts
- Participate in quality metrics tracking (e.g., preventive care, chronic disease management)
- Support supply ordering and vendor coordination
- Assist with policy implementation, compliance (HIPAA, OSHA), and process improvement
- Begin developing leadership skills through mentorship with current management
QUALIFICATIONS
- High school diploma required; associate’s or bachelor’s degree in healthcare administration or related field preferred
- 1–3 years of experience in a medical office (front desk, MA, or similar) strongly preferred
- Experience with Epic EMR highly preferred
- Strong communication and interpersonal skills
- Ability to multitask in a small, team-based environment
- Interest in long-term growth into healthcare management
