Position Summary
Carolina International School is seeking a creative, organized and community-focused professional to support the school’s enrollment, marketing, branding and student registration efforts.
Under the direction of the Head of School, the Part-Time Enrollment, Marketing and Registrar Assistant will help lead the school’s annual student recruitment and enrollment process, coordinate marketing initiatives, work with third-party vendors and assist in communicating the school’s mission, accomplishments and long-term vision to current and prospective families.
The position will also assist with student registration, enrollment records, student transfers and other registrar-related responsibilities. This is a multifunctional position requiring strong communication, marketing awareness, attention to detail, customer service and the ability to manage several projects simultaneously.
The successful candidate will understand that enrollment growth is directly connected to the school’s reputation, family experience, community visibility and ability to clearly communicate the value of a Carolina International School education.
Essential Duties and Responsibilities
Marketing, Branding and Community Engagement
- Assist the Head of School in developing and implementing an annual marketing, branding and student-recruitment plan.
- Help communicate the school’s academic programs, student outcomes, accomplishments, culture and future direction to families and the broader community.
- Work with third-party marketing, advertising, design, website, printing and media vendors.
- Coordinate the development of digital advertisements, print materials, brochures, mailers, banners, videos and other promotional materials.
- Help maintain consistent school branding, messaging, logos, colors and visual standards.
- Assist with website content, social-media campaigns, email communications and other digital outreach.
- Identify opportunities to increase the school’s visibility throughout Cabarrus County and surrounding communities.
- Develop marketing calendars and help ensure that campaigns are completed on schedule.
- Gather photographs, testimonials, student success stories, academic data and other content for promotional use.
- Help evaluate the effectiveness of marketing campaigns through application, inquiry, enrollment and engagement data.
- Assist the Head of School in presenting the school’s long-term vision and strategic priorities to families, community members, partners and other stakeholders.
- Maintain awareness of charter-school enrollment trends, competing schools and community demographics.
Enrollment and Student Recruitment
- Help lead the annual enrollment, recruitment, lottery and registration process.
- Respond promptly and professionally to inquiries from prospective families.
- Explain the school’s mission, academic programs, enrollment procedures and registration requirements.
- Maintain regular communication with applicants and accepted families throughout the enrollment process.
- Track inquiries, applications, lottery results, offers, acceptances, completed registrations and enrollment conversions.
- Follow up with families who have incomplete applications or registration documents.
- Coordinate school tours, open houses, information sessions, registration events and other recruitment activities.
- Assist with family retention efforts and re-enrollment communications.
- Help develop strategies to convert accepted applicants into fully registered students.
- Maintain accurate enrollment reports and provide regular updates to the Head of School.
- Work with school leadership to identify enrollment needs by grade level.
- Assist with waitlist communications and enrollment offers in accordance with school procedures.
- Provide courteous, responsive and welcoming service to prospective and current families.
Registrar and Student Records Assistance
- Assist with the registration, enrollment, withdrawal and transfer of students.
- Review registration documents for completeness and accuracy.
- Enter and update student information in the school’s student information system.
- Assist with maintaining cumulative student records, enrollment files and other official documentation.
- Request records from previous schools and respond to authorized records requests.
- Assist with the transfer of records for students who withdraw.
- Help verify residency, guardianship, immunization, birth and other required enrollment documentation.
- Maintain accurate records of student enrollment status and demographic information.
- Assist with transcript, report card and student-record requests as assigned.
- Support records retention, archiving and end-of-year student-record procedures.
- Exercise sound judgment when handling confidential student and family information.
- Comply with FERPA, school policies and all applicable state and federal confidentiality requirements.
- Refer complex enrollment, custody, records or compliance matters to the appropriate administrator.
Communication and Administrative Support
- Prepare enrollment reports, marketing updates, family communications and presentation materials.
- Maintain organized electronic and paper records related to recruitment, enrollment and marketing.
- Assist with answering enrollment-related telephone calls, emails and office inquiries.
- Coordinate meetings and communications with marketing vendors and community partners.
- Assist with school events that support recruitment, registration, family engagement or public awareness.
- Attend staff meetings, planning sessions and professional development activities as assigned.
- Perform other reasonable duties assigned by the Head of School.

Minimum Qualifications
- Bachelor's degree or equivalent combination of education, training and relevant experience.
- Experience in marketing, communications, enrollment, customer service, public relations, school administration or a related field.
- Strong written and verbal communication skills.
- Proficiency with commonly used office and digital communication applications.
- Ability to successfully complete required background, reference and employment screenings.
Preferred Qualifications
- Master’s degree (MBA) in marketing, communications, business, education or a related field.
- Experience supporting marketing, recruitment or enrollment in a school, nonprofit organization or community-based organization.
- Experience working with advertising, graphic-design, website or social-media vendors.
- Experience with student information systems or confidential records.
- Knowledge of charter-school enrollment and lottery processes.
- Experience developing promotional materials, digital campaigns or community events.
- Familiarity with the Cabarrus County and greater Charlotte-area communities.
- Photography, video, graphic-design or content-development experience.
