What are the responsibilities and job description for the Secretary/Receptionist-Central Office position at Central Office Administration?
SUMMARY: Operates multi-line switchboard to relay incoming, outgoing, and interoffice calls by performing the following duties
ESSENTIAL DUTIES and RESPONSIBILITIES: Other duties may be assigned.
- Operates a multi-line phone system.
- Serves as the primary receptionist and directs visitors to the correct department.
- Responds to telephone inquiries regarding school programs and activities.
- Performs a variety of clerical duties such as typing, proofreading, and photocopying (knowledge of Excel, Access, Word, Publisher, & Google).
- Scan, proof, and file documents/records for office.
- Maintain district telephone system and administration office machine problems/repairs.
- Distributes incoming Administrative Office mail, processes outgoing District’s mail and assumes responsibility for special handling mail. Also, coordinates and maintains records for the district’s package return.
- Keeps accurate records of postage usage/expenditures; prepares reports; communicates orally and in writing.
- Prepare and distribute the district employee directory.
- Separation of purchase orders for Absence/Travel and follow up on lodging (with employee or location), complete registration forms for teachers (when not complete).
- Input purchase orders for all travel requests, then mail or fax.
- Track employees’ travel requests.
- Type other purchase orders as needed.
- Ordering and inventory of office supplies and district forms.
- Keep copiers stocked with paper and supplies.
- Assist with annual audit.
- Issues and maintains student work permits.
EDUCATION and/or EXPERIENCE:

High school diploma or equivalent; or one to three months related experience and/or training or equivalent combination of education and experience.
