JOB DESCRIPTION
Classification: Non-Exempt
Department: Area Agency on Aging
Reports to: Aging Division Director
Summary/Objective
The Aging Data Specialist is responsible for performing data entry using a personal computer and appropriate software, while promoting the objectives of home- and community-based aging programs and services for the elderly and disabled population. Duties include receiving and responding to requests from the public, collecting and processing data from both internal and external sources, entering, updating, researching, verifying and/or retrieving data into/from various systems; and ensuring the accuracy and confidentiality of information recorded. Additional responsibilities include monitoring designated programs/facilities and reviewing monthly data.
Essential Functions

1. Information, Assistance, and Referral – link and inform older individuals and their caregivers of the available opportunities, services, resources, and programs in the community through incoming calls, emails, and referrals.
2. Collect, verify, and compile data from various sources; maintain records as required on state and company/department databases.
3. Enter, update, and verify data into various systems for use by all department personnel.
4. Create/Prepare reports as needed for the department and/or programs.
5. Review and verify data entered into the database to ensure accuracy.
6. Track documents received and completion dates.
7. Prepare and maintain client files, keep records confidential, and complete required reports.
8. Technical Assistance – providing help and/or training to service providers on form completion and monthly reporting.
9. Monitor designated program(s)/facilities to ensure compliance with contract specifications.
10. Review Aging program monitoring data monthly with the Aging Program Coordinator.
11. Perform Data analysis on selected program performance using the external provider’s data and internal tracking data.
12. Create various reports, spreadsheets, and charts for providers and management.
13. Operate computer terminal to transmit data or receive data, maintaining current information and files.
14. Create backup files for all data.

Supervisory Responsibility
This position has no direct supervisory responsibilities.
Work Environment
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and other office machines.
Physical Demands
The physical demands described here are representative of those required of an employee to perform the essential functions of this job successfully. This is essentially a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is regularly required to stand, walk, sit, use hands to finger, handle, or feel objects, tools, or controls, and reach with hands and arms. The employee frequently lifts and moves up to 20 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.
Travel
No travel is expected for this position.
Required Education and Experience
- High school diploma or G.E.D. certificate.
- Alpha and numeric data entry skills.
Preferred Education and Experience
- Associate degree or certificate of completion from a vocational training institution in a clerical program.
- Apprentice or on-the-job training in a related field.
Additional Eligibility Qualifications
- Knowledge and experience with basic software and database structure, with the ability to learn new programs quickly.
- Computer skills (Microsoft Word, Excel, PowerPoint, Office, etc.) must be exceptional.
- Verbal and written communication skills should be outstanding.

Other Duties
1. Aids technical staff to resolve computer and software problems.
2. Runs and distributes reports.
3. Serve as back-up and supplemental assistance for designated duties within the Aging Division.
4. Take incoming phone calls and assist callers with access to resources.
5. Assists with the maintenance of department-assigned company vehicles.
6. Assists the Aging Director with the NFCSP supplemental services (i.e., Wheelchair Ramps).
