The Administrative Office Assistant III (AOAIII) provides complex secretarial and administrative support to the Dean and Associate Dean of the College of Liberal Arts and Social Sciences (CLASS) and serves as the primary point of contact for the CLASS Dean’s Office. This position supports daily operations of the Dean’s Office, coordinates logistics for college events such as speaker series and alumni visits, and handles expense reconciliation for Dean’s Office staff. The AOA III supervises approximately four student workers supporting the Dean’s Office.
Required Qualifications
High school diploma or GED.
Three years of qualifying experience or a combination of education and experience that equates to three years.
Experience with Microsoft Word.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Preferred Qualifications
Bachelor’s degree, or an equivalent combination of education and experience.
Experience with SAP.
Experience with the Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Access.
Demonstrated supervisory experience.
Experience coordinating events, including speaker series, alumni visits, or external stakeholder meetings.
Duties & Responsibilities
Provides complex secretarial and administrative support to the Dean and Associate Dean, including calendar management, correspondence, meeting preparation, travel coordination, and expense processing.
Serves as the primary front-office contact for the CLASS Dean’s Office; receive visitors, answer phones, and route or resolve inquiries from faculty, staff, students, and external constituents.
Hires, trains, schedules, and supervises approximately four student workers supporting the Dean’s Office and college events.
Coordinates logistics for Dean’s Office meetings and college-wide committees, including agendas, materials, room reservations, and minutes.
Reconciles expenses for Dean’s Office staff.
Assists with coordination of college events, including speaker series, alumni visits, and meetings with external stakeholders.
Maintains confidential personnel, financial, and student records in accordance with University policy and records retention schedules.
Maintains accurate databases and spreadsheets for Dean’s Office operations and reporting.
Manages the Dean’s Office shared email and phone systems; triage incoming inquiries.
Coordinates office supplies, copier services, and Dean’s Office shared workspaces; serve as liaison with Facilities Management, IT, and other campus service units.
Coordinates with the CLASS Business Manager on personnel transactions, document routing, and administrative workflows requiring cross-functional handling.
Serves as a process and procedure resource for CLASS department-level office staff on Dean’s Office workflows.
Performs other duties as assigned.
