Document Migration Assistant

Pay Grade(s): 7 - 8
Purpose: The Document Migration Assistant will be responsible for assisting with the accurate and efficient transfer of employee and HR-related documents into the new Human Resources Information System (HRIS). This role requires attention to detail, organizational skills, and the ability to handle confidential information securely. This is a temporary position not expected to exceed three months.
Essential Functions. An individual in this role must be able to perform the following functions with or without reasonable accommodation:
- Collect, organize, and prepare existing HR documents for migration into the new HRIS platform.
- Verify document accuracy and completeness before uploading.
- Ensure proper classification and tagging of documents according to project guidelines.
- Assist in scanning and digitizing paper documents when necessary.
- Maintain confidentiality and security of sensitive employee information.
- Coordinate with HR, Payroll and other stakeholders to resolve document-related issues.
- Document and report any discrepancies or missing files to the project lead.
- Provide support in testing and validating document accessibility within the HRIS.
- Perform other related duties as assigned by the HRIS Project Lead.
Knowledge, Skills & Abilities. A comprehensive set of capabilities required to perform job tasks effectively:
- Knowledge of document management best practices and ability to familiarize self with common HR documentation.
- Familiarity with HRIS platforms and data migration processes or ability to learn quickly. (preferred).
- Understanding of confidentiality and data privacy requirements.
- Strong organizational and time-management skills.
- High attention to detail for accurate document handling and data entry.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and basic scanning/digitizing.
- Good communication skills for team coordination and issue reporting.
- Ability to handle sensitive information with discretion.
- Ability to follow detailed instructions and adhere to project protocols.
- Ability to work independently and collaboratively within deadlines.
- Quick learner with new software tools and systems.
Minimum Qualifications (education, experience, skills):
- High school diploma or equivalent.
- Minimum of two (2) years of experience in document management, data entry, or related roles.
- Strong organizational skills and keen attention to detail.
- Ability to handle confidential information with discretion.
- Good communication skills and the ability to work collaboratively in a team environment.

Physical Requirements. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job with or without reasonable accommodation:
- The majority of work is performed in a professional office setting and is generally sedentary, requiring routine walking, standing, bending, and carrying of items weighing less than 40 lbs
- Some travel may be required on small aircraft or ferry.
- Certain positions at Tlingit and Haida may have exposure to certain hazardous materials or conditions. The supervisor will review these if applicable.
