Position Summary
The State & Federal Funds Specialist manages all aspects of the school’s participation in Ohio state auxiliary services, Administrative Cost Reimbursement (ACR), Title programs, and other state and federal funding streams. This role ensures compliance, accurate reporting, timely submissions, and effective coordination with public school districts, state agencies, and federal program partners. The specialist supports the school’s mission by maximizing available resources while upholding the values of a Christ-centered educational environment.
Key Responsibilities
State of Ohio Programs
- Ohio Auxiliary Services (Aux Funds):
o Prepare, submit, and monitor annual auxiliary services budgets.
o Coordinate with the local public school district on purchasing, approvals, and reimbursements.
o Track expenditures, maintain documentation, and ensure compliance with Ohio Department of Education (ODE) requirements.
- Administrative Cost Reimbursement (ACR):
o Complete annual ACR applications and supporting documentation.
o Maintain accurate records of eligible administrative activities and expenses.
o Monitor reimbursement timelines and reconcile payments.
Federal Programs (Title Funds & Others)
- Manage participation in federal Title programs (e.g., Title I, II-A, III, IV-A), including needs assessments, consultation with districts, and program planning.
- Track allowable expenditures and maintain compliance with federal guidelines.
- Assist with grant applications, reporting, and monitoring requirements.
- Coordinate with district federal program coordinators and ensure timely submission of required documentation.
Financial Tracking & Compliance
- Maintain organized, audit-ready records for all state and federal programs.
- Monitor budgets, spending, and reimbursement cycles.
- Ensure compliance with all applicable state and federal regulations, including ODE and U.S. Department of Education guidelines.
- Prepare periodic reports for school and church leadership.
Communication & Collaboration
- Serve as the primary liaison between the school and public school district officials regarding state and federal programs.
- Communicate program requirements, deadlines, and updates to school leadership and staff.
- Provide guidance to teachers and administrators on allowable uses of funds.
Mission Alignment
- Support the school’s Christian mission by conducting all responsibilities with integrity, stewardship, and professionalism.
- Maintain confidentiality and uphold the school’s values in all interactions.
Qualifications
- Associate or bachelor’s degree in education, finance, business administration, or related field required. Three or more years of experience in a similar position may be acceptable in lieu of a degree.
- Experience with Ohio and/or federal education funding programs required.
- Strong organizational and record keeping skills.
- Ability to interpret and apply state and federal regulations.
- Proficiency with spreadsheets, budgeting tools, and digital record systems.
- Excellent communication and collaboration skills.
- Commitment to the mission and values of Christian education.
Work Environment & Schedule
- Part-time schedule with some flexibility based on program deadlines.
- Occasional meetings with district personnel or school leadership may be required.
- Hybrid work options may be considered.
Pay: $20.00 - $22.00 per hour
