Onsite HR & Staffing Coordinator

Job Summary

We are seeking a dynamic, proactive, and highly organized Onsite HR & Staffing Coordinator to support daily workforce operations at our client site. This position serves as the primary liaison between client management and temporary associates, ensuring seamless staffing operations, employee support, and exceptional client service in a fast-paced warehouse environment.

Key Responsibilities:

Staffing Operations

  • Coordinate daily staffing activities to ensure adequate workforce coverage based on client needs.
  • Recruit, interview, onboard, orient, and assign qualified associates to open positions.
  • Fill last-minute staffing requests by coordinating with recruiters and identifying replacement associates.
  • Manage employee schedules, shift changes, transfers, assignment updates, and workforce planning.
  • Monitor staffing levels and proactively communicate workforce needs to management.

Employee Relations

  • Serve as the primary onsite point of contact for all temporary associates.
  • Address employee questions, concerns, and workplace issues professionally and promptly.
  • Foster a positive work environment through effective communication, coaching, and employee support.
  • Resolve conflicts while maintaining professionalism, confidentiality, and fairness.
  • Educate associates on attendance expectations, workplace policies, client procedures, and company standards.

Attendance & Workforce Management

  • Monitor daily attendance, call-offs, tardiness, no-call/no-show occurrences, and leave notifications.
  • Investigate attendance issues and maintain accurate documentation.
  • Process resignations, assignment changes, employee separations, and DNR requests according to company policy.
  • Coordinate return-to-work documentation, medical notes, and attendance follow-up.

Payroll & Administrative Support

  • Assist associates with payroll questions, paycheck concerns, direct deposit issues, and timecard corrections.
  • Coordinate payroll-related concerns with payroll and finance departments to ensure timely resolution.
  • Maintain accurate employee records, staffing files, and compliance documentation.
  • Prepare staffing reports, attendance summaries, and operational updates for management.

Client Relations

  • Act as the primary liaison between Central Agency Group and client management.
  • Build strong working relationships with supervisors, operations leaders, and HR representatives.
  • Respond promptly to staffing requests, operational changes, and client concerns.
  • Provide staffing recommendations and workforce updates while ensuring high levels of client satisfaction.

Recruitment & Onboarding

  • Coordinate candidate interviews and onboarding activities.
  • Conduct new hire orientation and communicate job expectations, schedules, safety requirements, and workplace policies.
  • Ensure all required employment documentation is completed accurately and on time.

Compliance & Safety

  • Maintain compliance with company policies, client procedures, and workplace safety standards.
  • Document attendance issues, disciplinary actions, performance concerns, and workplace incidents.
  • Promote OSHA compliance by reinforcing safe work practices and reporting safety concerns promptly.
  • Maintain confidentiality while handling sensitive employee information.

Communication & Coordination

  • Draft professional emails, employee communications, reports, and operational updates.
  • Translate verbal and written communication between English and Spanish when necessary.
  • Collaborate with recruiting, payroll, HR, finance, and operations teams to resolve employee and client issues efficiently.
  • Support continuous improvement initiatives that enhance staffing operations and employee experience.

Leadership

  • Represent Central Agency Group professionally at the client site.
  • Exercise sound judgment and independent decision-making while resolving day-to-day operational challenges.
  • Escalate critical issues to management when appropriate.
  • Prioritize multiple responsibilities while delivering exceptional customer service and maintaining operational excellence.

Qualifications Required

  • Previous experience in Human Resources, Staffing, Recruiting, Workforce Coordination, Operations, Customer Service, or Office Administration.
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Ability to multitask in a fast-paced warehouse environment.
  • Professional demeanor with excellent problem-solving and conflict-resolution skills.
  • Ability to work independently while managing multiple priorities.
  • High level of discretion when handling confidential information.
  • Proficiency in Microsoft Outlook, Word, Excel, and Google Workspace.

Preferred

  • Experience working in a staffing agency or warehouse/distribution environment.
  • Bilingual in English and Spanish.
  • Experience supporting high-volume staffing operations.

Pay: $2,500.00 - $3,000.00 per month
