Must be willing to travel to North Port as needed (travel reimbursed). 

SUMMARY: 

Position requires medical/dental office knowledge and the ability to input data accurately into computer system. Must be detail oriented with good interpersonal and customer service skills. Assists/directs patients with questions and inquiries. Supports the health center to provide quality and effective care to the patients served. Works under the daily supervision of the site manager.

ESSENTIAL FUNCTIONS: 

Registration:

  • Creates new account if patient not in the system.
  • Obtains current patient information from established and new patients.
  • Accurately enters/updates patient information in EHR system.
  • Identifies payer source, verifies insurance eligibility, financial status and assigns correct pay type.

Pre-Visit:

  • Accurately pre-screens medical/dental records.
  • Verifies insurance eligibility and obtains authorizations for dates of service.
  • Reviews EHR System for needed updated insurances, demographics and forms and updates EHR as appropriate.
  • Assures patient reminders are completed daily.

Scheduling:

  • Identifies patients by date of birth and name in computer system.
  • Schedules and re-schedules appointments as needed.
  • Calls No Show appointments to reschedule and makes appropriate notations in EHR.
  • Performs prescreening process for add-on appointments.
  • Routinely demonstrates superior customer service skills:
    • Answers telephone in a timely and polite manner, preferably within three rings.
    • Communicates with customers in a courteous, professional, cooperative, and mature manner.
    • Accurately takes messages and conveys information to recipient.
    • Transfers call to Triage RN when medically indicated.

Patient Visit:

  • Notes patient arrival in Electronic Health Record.
  • Checks patient into EHR timely and accurately.
  • Assures any missing information is complete and accurately entered in EHR.
  • Assists patients with completion of paperwork when necessary.
  • Reviews EHR workflow order overview at completion of visit and follows up as appropriate.
  • Checks out patient at the end of visit

Cashier:

  • Demonstrates the ability to collect office charges, post charges to patient accounts and accurately manage cash drawer.
  • Accurately enters procedure codes with correct diagnosis.
  • Accurately reconciles charges for the day.
  • Accurately prepares daily deposits.
  • Correctly prepares batch reports/encounters for the Finance Department.

Document Management:

  • Assures documents are entered into the Electronic Health Record per protocol.
  • Categorizes, dates, and labels loose medical documents.
  • Accurately imports loose medical and registration documents into patient’s EHR.
  • Completes tasks related to document management in EHR as assigned.
  • Troubleshoots documents in the clinical inbox as assigned.

Billing:

  • Reviews workflow dashboard daily.
  • Supports billing tasks as assigned.
  • Completes billing tasks accurately and efficiently.

Other:

  • Supports clinical staff and patients in referral process.
  • Completes Daily/Day end activities as assigned.
  • Completes all required trainings and attends meetings as assigned.
  • Protects/observes patient confidentiality per policies and procedures.
  • Translates, as needed, if employee is bilingual
  • Recognizes and responds appropriately to violent/abusive situations, bomb threats, fire, and emergency situations.

Qualifications:

MINIMUM QUALIFICATIONS: (EXPERIENCE/SKILLS/ABILITIES/EDUCATION/CERTIFICATIONS):

  • High School Graduate or GED
  • Ability to effectively interact with physicians, patients, and other staff.
  • Demonstrated knowledge of proper, safe, and efficient use of current office equipment/software.
  • Demonstrated knowledge/ability to use Office 365 programs, including Outlook and Word.
  • Effective use of Electronic Health Records.

PREFERRED QUALIFICATIONS: (EXPERIENCE/SKILLS/ABILITIES/EDUCATION/CERTIFICATIONS):

  • Bilingual candidates preferred.
  • Translation for patient/provider (as necessary) if bilingual
  • Medical/Dental office experience preferred.
  • Basic knowledge of medical/dental terminology preferred.
