Admissions Advisor
Job Summary:
Coordinates admissions for all incoming and potential clients, answering all their questions throughout the admissions process. Acts as a liaison between clients and the facility they will be admitting to, ensuring clients are well-versed in program rules and treatment expectations. Timeliness is a critical factor in this role, and teamwork is a must.
Essential Functions and Responsibilities:
- Inquiry Response: Answer and respond to all inquiries in a timely manner.
- Information Gathering: Obtain required information from callers regarding financial obligations, medical/mental health necessities, legal obligations, family/social support, and employment/employer information.
- Document Preparation: Complete all admission documents and assessments and prepare and develop all charts prior to the patient’s admission.
- Admission Assessment: Thoroughly complete the admission assessment to determine if the potential client meets Centered Health’s criteria for admission.
- Medical and Legal Reports: Obtain necessary medical, clinical, and legal reports from outside professionals (referring physician, hospital, treatment facility).
- Admission Documentation: Ensure all necessary admission documentation is signed prior to admission.
- Benefit Verification: Collect and process all necessary information to check benefits.
- Financial Proposals: Provide financial proposals effectively to clients and/or financiers. Must possess initiative and confidence in discussing financial matters.
- Attends Facility and Clinical Meetings (Virtually): Participates in virtual meetings to stay informed on departmental and clinical updates.
- Chart Management: Responsible for creating and completing all client charts in Salesforce and KIPU.
- Lead Management: Ensure that all assigned and unassigned leads are properly managed in a timely manner.
- Meeting Participation: Attend facility and clinical meetings virtually to stay informed on departmental and clinical updates, providing guidance on how to conduct effective meetings.
- Report Maintenance: Compile, maintain, and provide regular reports to Admissions Management Team regarding assigned leads.
- Additional Duties: Complete other duties as assigned by any member of the admissions management team.
Required Skills/Abilities:
- Must be a problem solver, patient, and have excellent communication skills.
- Ability to exercise professional judgment in performing day-to-day activities, ensuring adherence to Centered Health policies and procedures.
- Excellent verbal and written communication skills are required.
- Ability to meet multiple deadlines in a stressful environment.
- Must possess initiative and confidence in speaking about financial matters.
- Experience with DocuSign, KIPU, and Salesforce is required.
- Working knowledge of Microsoft Office programs is required.
- Thorough understanding of mental health diagnoses and treatment modalities.
Education and Experience:
- Possesses a High School diploma or GED
- Minimum of 3 years or more of experience in a related field, at least 1-2 years in an Admissions Department.
- Demonstrates a genuine desire to work with the population served
Physical Requirements:
- Frequent sitting must be able to remain in a stationary position at least 50% of the time.
- Must be able to lift and carry light objects and parcels as an incidental part of their job.
- The position needs to occasional move about inside and outside the facility frequently.
- Constantly operates a computer and other office machinery; must be able to speak and hear.
- Frequently communicates with other employees and clients.
