What are the responsibilities and job description for the Front Desk Receptionist position at Center for Sight & Hearing?

The Receptionist serves as the vital first point of contact for the Center, and greets guests, visitors, and callers in a friendly, upbeat, outgoing, and professional manner. As a member of the Professional Services team, s/he assists with the coordination and scheduling of clinical services, enters patient data into the electronic medical record system, and provides clerical assistance to internal and external departments and contacts as needed.

Position Requirements

· Knowledge & Education

§ Associates Degree or High School diploma or equivalent with 3 years of relevant customer service experience, preferably in a clinic setting.

§ Proficient in Microsoft Office Software (Excel, Outlook, Word)

§ Experience taking cash/check/credit card payments from patients

§ Experience with electronic medical record software and medical terminology

§ Knowledge of HIPAA protocols and guidelines

§ Bilingual English/Spanish preferred, knowledge of ASL a plus.

§ Ability to use a multiline phone system with excellent phone etiquette.

§ Excellent customer service skills.

§ Ability to multitask, meet deadlines, and adapt to a given situation with tact and diplomacy.

Essential Job Functions

· Answer incoming phone calls in a timely, efficient, and courteous manner; appropriately transfer calls or record messages.

· Call patient prior to appointment to confirm; make sure insurance referral information is received prior to appointment

· Prepare outgoing mail and parcels; schedule package pickup.

· Check-in packages (hearing aids ordered and process them in the system), notify patient when received and schedule fitting appointment

· Maintain inventory on low vision items kept for grant patients

· Assist visitors with sign up for activities as needed.

· Assist other departments with projects, events, and meeting minutes as needed.

Assist with clinical administrative functions including appointment scheduling; patient registration; patient intake, insurance, authorization and referral information.

  • Collect payment and provide receipts; scan documents and organize electronic records.
  • Maintain information on services provided by Managed Care Providers and distribute to doctors, Professional Services Coordinator, Financial Services Manager, and other Center employees as needed.

· Assist customers with sales for audiology and vision supplies.

§ Actively communicate with other employees and participate in committees to accomplish strategic objectives.

§ Outstanding organizational skills

§ Excellent verbal and written communicator.

§ Work with vendors and respond to issues related to orders.

· Participate in employee meetings, training, and Center activities.

· Maintain CPR and First Aid certification offered by the Center.

· Support Center activities and events whenever possible.

· Actively participate in direct marketing of the Center.

· Other duties as requested.

· Prioritize own work.

· Develop short- and long-range objectives and plans to meet job duties.

· Check the quality and timeliness of own work.

· Determine additional training needed to improve own work performance.

Equipment Used

· Multi-line telephone system, voice mail, computer, copier, scanner, printer, fax machine, postal machine, credit card processing.

Physical Requirements

· Understand what others say to you.

· Work with individuals with disabilities.

· Hear and speak on the phone.

· Ability to sit for long periods.

· Occasionally lift up to 25 pounds.

Job Type: Full-time

Pay: $15.00 - $19.00 per hour

Expected hours: 40 per week
