Job Title: NeuroStar TMS Treatment Program Coordinator

Position Summary:
The NeuroStar TMS Treatment Program Coordinator is responsible for the daily operations and growth of the Transcranial Magnetic Stimulation (TMS) program. This role oversees a team of TMS treaters, manages patient intake and consultation, coordinates prior authorizations and financial counseling, and leads outreach and marketing efforts to local healthcare providers. The coordinator ensures high-quality patient care, program efficiency, and ongoing program development.
Key Responsibilities:
- Team Leadership & Supervision
- Oversee and support a team of TMS treaters, ensuring adherence to clinical protocols and best practices.
- Coordinate staff schedules, training, and performance evaluations.
- Foster a collaborative and patient-centered team environment.
- Patient Consultation & Intake
- Respond to patient inquiries and follow up on leads from various sources.
- Conduct initial consultations with interested patients, providing education on TMS therapy, eligibility screening, and addressing questions or concerns.
- Guide patients through the intake process, ensuring a smooth transition into treatment.
- Prior Authorizations & Financial Counseling
- Complete and submit prior authorization requests to insurance providers for TMS therapy.
- Communicate with insurance companies to resolve coverage issues and obtain approvals.
- Provide financial counseling to patients, including cost estimates, payment options, and assistance with financial paperwork.
- Program Marketing & Outreach
- Develop and implement marketing strategies to promote the TMS program to local physicians, therapists, and the broader community.
- Build and maintain relationships with referring providers through outreach, presentations, and educational events.
- Represent the program at local professional meetings and community events.
- Program Operations & Quality Assurance
- Monitor program metrics, patient outcomes, and satisfaction to ensure high standards of care.
- Identify opportunities for program improvement and expansion.
- Maintain compliance with all regulatory and accreditation requirements.
Qualifications:
- Experience in behavioral health, medical office management, or TMS therapy coordination strongly preferred.
- Strong leadership, organizational, and communication skills.
- Proficiency with electronic health records and insurance processes.
- Ability to work independently and as part of a multidisciplinary team.
- Marketing or outreach experience is a plus.
