Patient Care Coordinator

Potential dual trained position at our friendly front desk and/or in the back office as a technician, assisting clinicians with excellent care.

Qualifications:
- High School Graduate or Equivalent
- Mature reasoning ability
- Knowledge of the reasons for patient care administered in the facility
- Knowledge of medical terminology, physiology, anatomy, and neurology is preferred.
- Proficiency in English, Spelling and Math.
- Detail oriented and strong ability to track tasks and follow through on duties
- Previous receptionist experience in health-related office to include computer knowledge, multiple phone line handling
- Excellence in customer service and teamwork
- Computer efficiency and knowledge of multiple computer programs.
Duties:
- New Patient intake via telephone (Calling and handling referrals).
- Accurate data and demographic collection for tracking purposes.
- Acquire accurate information as necessary for authorization, billing, scheduling, and provision of physical therapy services.
- Verification of health insurance coverage (for coverage purposes)
- Acquire and track patient treatment frequency and duration (assist authorization staff as requested).
- Maintain current authorizations and prescriptions as delegated (assist authorization staff as requested).
- Accurate entry of all patient information.
- Schedule new and current efficiently, accurately and promptly.
- Triage patients for priority in scheduling.
- Communicate effectively with patient and therapist regarding scheduling needs and/or concerns.
- Communicate effectively with insurance companies to assure that information received is accurate to avoid complications with patient claims payments (to assist authorization staff as requested).
- Displays positive attitude towards all ages and races of clients without prejudice.
- Greet and direct patients to the appropriate area or staff.
- Check patients in on the computer system and help them navigate through the kiosk.
- Provide appropriate paperwork/portal access for clients and check for accuracy/completeness.
- Scan intake paperwork into electronic medical records as required.
- Answer and handle multiple phone lines.
- Greet all guests and clients who enter the office within a timely manner.
- Give tours of the office to potential customers/clients.
- Request surgical reports, imaging and special tests as needed or requested.
- Perform filing and record keeping to maintain organization of office and medical records.
- Triage phone calls to appropriate personnel. Accurately obtain callers information.
- Follow up on tasks as needed.
- Call patients as needed for no shows, cancellations, and status checks.
- Maintain a 90% arrival rate with 65 patients scheduled on full time clinical staff schedules.
- Assist in FOTO program as delegated.
- Collect all co-pays and coinsurance prior to patient treatment.
- Schedule follow up visits for patients accurately with appropriate therapist, frequency and duration.
Physical Demands:
- Physical activity including prolonged sitting.
- Escorting patients/clients into our out of the facility as needed
- Must have sufficient freedom of total body movement to stand up and sit down at workstation
- Must be able to squat and stoop to lift at least 25# box of paper or 25# stack of charts. Possesses the physical traits to perform all clerical duties. Must be able to reach for files and charts above shoulder height.
- Has sufficient eyesight to be able to type on a computer for extended periods of time. Must have sufficient hearing ability to be able to answer telephone calls and respond to audio alarms.
Mental Abilities:
- Must be able to follow verbal and written instructions.
- Must be able to organize workload and prioritize workload.
- Must be able to work in a small office with multiple telephone calls, noise generated by computer printers, and occasional talking.
Working Conditions:
- Inside under normal temperatures; adequate light, ventilation, and space. Works mostly with others; occasionally alone; moderate noise from equipment and instruction of patients.
- No unusual hazard risks.
- May be asked to assist in patient care in the event of a disaster; therefore, potential exposure to patients could occur.
- Exposure to various chemical agents typically used in an office setting.
- Conditions of work may involve exposure to communicable diseases and on the job injuries
