As our VIP Spoke Manager, you are the vital link between VA Medical Centers and our community partners. You will lead the charge in our Hub-and-Spoke service model. The Role: You’ll act as the vital link between VA Medical Centers, Spoke Agencies, and a third-party biller, ensuring smooth operations, compliance, and quality services at every point of connection.
This isn’t a typical "behind-the-desk" role; you will have a mix of direct interaction with people and behind-the-scenes administrative work. You will spend time mentoring different agency staff and ensuring our Veterans receive high-quality person-first support. You will oversee program compliance, monitor budgets, and manage documentation in Cumulus, all while maintaining the flexibility to pivot when schedules shift.

Summary: This position is responsible for coordinating and supporting Spoke Agencies and VA Medical Centers to ensure effective program delivery, compliance, and strong collaborative relationships. Key duties include mentoring and advising agency staff, monitoring Veteran enrollments and referrals, overseeing documentation and audit requirements in Cumulus, and ensuring adherence to program standards and budget guidelines. The role also involves collaborating with internal departments and community partners, maintaining accurate records, safeguarding confidentiality, and upholding all regulatory and mandatory reporting requirements. Strong organizational skills, flexibility, professionalism, and the ability to manage responsibilities independently are essential.
Essential Duties and Responsibilities:
- Coordinate effectively with multiple Spoke Agencies and VA Medical Centers, adapting to the unique processes and environments of each.
- Demonstrate strong attention to detail, flexibility, and the ability to manage competing priorities.
- Serve as a peer mentor and advisor to Spoke agency staff by offering guidance, training, encouragement, and program-related support. Promote high-quality customer service and advocate for Veterans when necessary.
- Facilitate regular meetings with Spoke agencies to encourage open communication and cultivate strong, collaborative relationships.
- Participate in ongoing meetings with VA Medical Centers to strengthen partnerships and maintain effective communication.
- Partner with the Director of Strategic Growth to monitor Veteran enrollments, referral progress, and monthly billing activities.
- Oversee Spoke Agency compliance with program requirements and established standards, including but not limited to:
- Entering new referral information into Cumulus and assigning referrals to Spoke Agencies
- Monitoring referral progress and ensuring timely follow-up
- Verifying completion of required activities within Cumulus
- Assisting with monthly VA audit requirements
- Reviewing Veteran spending and notifying Spoke Agencies of any concerns
- Ensuring documentation is completed accurately and within required timelines
- Conducting periodic file reviews
- Assist with required surveys and data collection efforts as needed.
- Develop and maintain a comprehensive understanding of the Veterans Independence Program (VIP), including Self-Direction principles as they relate to Veteran Directed Care.
- Maintain general knowledge of Veteran-related programs and how they intersect with VIP; collaborate with military and civilian community resources as appropriate.
- Work closely with the Fiscal Management Service to resolve issues affecting Veterans served by Spoke agencies.
- Collaborate with the Director of Strategic Growth to ensure billing and expenditures remain within approved budgets.
- Coordinate with the Director of Strategic Growth and the Accounting Department to ensure collection of assessment and monthly administrative fees.
- Complete thorough, accurate, and timely documentation for services provided to Veterans.
- Uphold strict confidentiality standards and ensure compliance with HIPAA regulations.
- All CPWD staff members are considered mandatory reporters, obligated to report signs of abuse they are aware of both on and off the job.
- Demonstrate high standards of ethics, integrity, and professionalism.
- Maintain working knowledge of the Americans with Disabilities Act (ADA), the Rehabilitation Act, and the Fair Housing Act.
- Participate in CPWD staff meetings, program meetings, and training sessions.
- Travel up to 15% as required for direct services, meetings, outreach, and training events
- Manage workload independently, prioritize responsibilities effectively, and seek supervisory guidance when appropriate.
- Exhibit strong organizational and time-management skills.
- Remain adaptable when addressing schedule changes, interruptions, or challenging situations.
- Perform additional duties as assigned.
REQUIRED QUALIFICATIONS:
- Associate’s degree in a relevant field or relevant supervisory and program management experience in a related human service field.
- Experience with monitoring program budgets.
- Leadership and interpersonal skills with people from diverse backgrounds.
- Able to work independently, making solid decisions and exercising sound judgment with staff, consumers, and community contacts.
- The ability to interact personally with people, businesses and service organizations on all levels, and positively represent CPWD in the community.
- Able to function independently and adapt readily to multiple assignments and deadlines.
- Ability to be flexible and work with various VA Medical Center staff, Spoke agencies and staff from different backgrounds.
- Knowledgeable around disabilities and disability-related issues
- Strong organizational and customer service skills, and attention to detail.
- Leadership and interpersonal skills with diverse peers, consumer base, other staff members and management.

PREFERRED QUALIFICATIONS
- Personal experience with a disability is strongly preferred!
- Personal experience with the military and military culture is strongly preferred.
- Bachelor’s degree in a relevant field or relevant human services supervisory and program management experience.
- Exposure to Independent Living Philosophy and best practices in the IL community.
PHYSICAL/ENVIRONMENTAL REQUIREMENTS:
- Office environment requiring an extended amount of time sitting or standing, and regular computer use.
- Local/regional travel in various weather conditions an average of 15% of the time; must have a reliable mode of transportation.
- Based primarily out of Longmont CPWD office location.
- May be asked to work out of any CPWD office, as needed.
