We are seeking a motivated and detail-oriented Front Desk Agent to join our team. This role is crucial in providing exceptional customer service and ensuring smooth operations at the front desk. Responsibilities
- Greet and assist visitors and clients in a professional manner
- Manage directing calls and taking messages as necessary
- Perform data entry tasks accurately and efficiently
- Maintain office organization through effective filing and record-keeping
- Handle customer inquiries and provide support to ensure satisfaction
- Utilize practice management/electronic health records software
- Appropriately access and maintain protected health information
- Coordinate referrals for outside services including interacting with legal professions and other medical offices
- Request and obtain patient records from outside providers
- Perform chart audits for compliance
- Assist with calendar management and scheduling appointments for two physicians
- Conduct proofreading of documents to ensure accuracy before distribution
- Collaborate with team members to streamline office operations
- Utilize Microsoft Office and Google Workspace for various administrative tasks
- Direct assistant to practice owners
Qualifications
- Previous experience in a front desk or receptionist role is preferred
- Strong customer service skills with a focus on client satisfaction
- Proficiency in computer skills, including Microsoft Office Suite and Google Workspace
- Familiarity office management practices
- Excellent organizational skills with the ability to manage multiple tasks simultaneously
- Bilingual abilities are a plus, enhancing communication with diverse clientele
- Experience in clerical duties, including data entry, filing, and typing
- Strong time management skills to prioritize tasks effectively
- Background in chiropractic or medical reception is advantageous but not required
- Personal assistant experience is beneficial for managing various administrative responsibilities
