We're looking for a friendly, organized New Patient Intake Coordinator to be the first point of contact for new patients across our airway, facial development, and orthodontic specialties — guiding them through the initial consultation process and helping them feel welcomed, informed, and excited to begin treatment.

Key Responsibilities
- Conduct virtual consultations with prospective patients, creating a warm and welcoming first impression.
- Confidently present the journey of a patient at AFD from new patient consultation to treatment options and outcomes in order to help families move from inquiry to a scheduled in office consultation.
- Gather and review patient intake information and medical/dental history.
- Organize and efficiently manage multiple conversations and touch points throughout the day through phone, email and text.
- Clearly communicate consultation fees, financing options, and practice policies.
- Answer patient inquiries and provide exceptional, high-touch and timely customer service.
- Schedule new patient appointments and manage a multitasking, fast-paced daily schedule.
- Maintain accurate and confidential patient records in compliance with HIPAA.
- Work closely with clinical and treatment coordination teams to ensure seamless patient transitions from virtual to in-office care.
Qualifications
- Personal experience as an AFD patient family is a strong plus — you don't need a sales background if you have a real story to tell.
- Prior experience in healthcare, dental, or medical front office is another plus.
- Comfortable guiding people through a decision with genuine enthusiasm and confidence — prior sales, customer service, or client-facing experience preferred (or equivalent experience as a passionate AFD family advocate).
- Excellent communication and organizational skills; comfortable multitasking across calls, messages, and virtual platforms.
- Ability to explain clinical concepts in an empathetic, patient-friendly manner.
- Tech-savvy with experience using telehealth platforms and EHR/practice management software.
- Comfortable working in a team-oriented, collaborative, multi-dimensional environment.
- HIPAA compliance knowledge is a plus.

Pay: $24.00 - $28.00 per hour
