What are the responsibilities and job description for the Director, IT position at Center for Adoption Support and Education?

JOB SUMMARY:

Headquartered in the D.C., Maryland, and Virginia region, the Center for Adoption Support and Education (C.A.S.E.) is a mission driven nonprofit organization of 80 professionals dedicated to supporting the lifelong mental health and well-being of children and families formed through adoption, foster care, and kinship care. C.A.S.E. provides therapeutic services, professional training, and technical assistance that reach across the nation and internationally.

C.A.S.E. is seeking a strategic and hands-on IT professional to serve as its first internal technology leader. In this position, you will evaluate, re-engineer, and architect C.A.S.E.’s IT function, strengthening what works, redesigning what does not, and building the governance, systems, and practices that will sustain long-term growth.

As the IT Director, you will assess and refine the foundation established by our managed service provider (MSP), introducing intentional structure, accountability, and alignment across all technology functions. You will operate at both the strategic and operational levels by translating business needs into technical designs, managing vendor and consultant relationships, and enabling staff through thoughtful use of modern digital tools and practices.

You will lead the phased implementation of C.A.S.E.’s IT Strategic Plan, balancing innovation and practicality to evolve systems at a sustainable pace. This is a highly collaborative and evolving role for a creative, nimble builder who thrives on translating organizational needs into sustainable, secure, and cost-conscious technology solutions that advance C.A.S.E.’s mission.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

    • Provide hands-on leadership to establish structure and clarity for C.A.S.E.’s internal IT function. Evaluate the current environment, strengthen core infrastructure, and develop governance and processes to support phased implementation of C.A.S.E.’s IT Strategic Plan.
    • Translate organizational needs into scalable system designs—leading architectural assessments, tool evaluations, and modernization efforts using principles from Microsoft’s Cloud Adoption and Well-Architected Frameworks.
    • Architect and implement secure, cloud-first infrastructure with a focus on system interoperability, data integration, and long-term sustainability.
    • Establish and manage a lightweight IT Service Management (ITSM) framework—streamlining intake for incidents, service requests, onboarding, and self-service through a centralized IT Product and Service Catalog.
    • Lead the deployment and continuous improvement of IT support processes such as ticketing workflows, device management, change management, and knowledge sharing across the organization.
    • Design, document, and implement foundational IT governance structures, including policies, standards, and decision-making frameworks that balance innovation, compliance, and operational agility. Establish processes for areas such as remote access, remote work, change management, and security reviews to ensure accountability and sustainability.
    • Administer and optimize Microsoft 365 and Azure cloud environments—managing tools such as Intune, Purview, Teams, SharePoint Online, and the Admin Center for secure collaboration, compliance, and monitoring.
    • Use SharePoint Online and Power Platform (Power Automate, Power Apps, Power BI) to build lightweight digital tools and automations for onboarding, ITSM workflows, and organizational knowledge hubs.
    • Define and maintain scalable architecture standards and documentation to guide future technology investments and solution design.
    • Lead CRM and system integration initiatives to streamline data flow across donor management, clinical platforms, training systems, and finance tools.
    • Promote observability and performance transparency across systems using Power BI dashboards, usage analytics, and user feedback loops.
    • Establish and oversee data governance and security practices that meet HIPAA and nonprofit standards, define stewardship roles, and partner with departments to strengthen data quality and privacy.
    • Conduct routine inventories of IT assets—including hardware, software, and licenses—to identify cost savings and right-sizing opportunities.
    • Manage relationships with vendors, consultants, and the MSP to ensure reliable and cost-effective technology services. Strengthen coordination with the MSP, build internal capacity to complement external support, and align vendor performance with organizational goals.
    • Serve as a technical advisor and decision-maker during technology acquisitions—leading vendor evaluations, collecting multiple quotes, and ensuring alignment with security, compliance, and infrastructure standards.
    • Coordinate with the IT Steering Committee and executive leadership to align IT priorities, technology budgets, and cross-functional roadmaps.
    • Establish and maintain business continuity and disaster recovery plans using Microsoft-native solutions, ensuring organizational resilience and alignment with organizational risk practices.
    • Create and maintain technical documentation, including SOPs, IT policies, workflows, and training materials.
    • Build digital fluency across the organization through onboarding, training, and change management practices that promote confident use of tools such as SharePoint, Teams, and AI platforms like Microsoft Copilot.
    • Pilot and assess emerging technologies—such as AI-enhanced tools and workflow automation—to explore and harness their value in driving innovation and mission impact while ensuring alignment with governance, compliance and budget priorities
    • Communicate project updates, technology risks, and strategic recommendations clearly to stakeholders across all levels of the organization, including board-level reporting where appropriate.

OTHER DUTIES AND RESPONSIBILITIES:

  • Actively participate in organization-wide events and initiatives, including All Staff Meetings and learning sessions, to build trust, foster teamwork, and visibility across teams. Demonstrate commitment to collaboration, learning, and C.A.S.E.’s core values in all interactions and responsibilities.
  • Demonstrate alignment with and adherence to C.A.S.E.’s core values, mission, and strategic direction in all work responsibilities and interactions.
  • Support the formal establishment and ongoing operation of the IT Steering Committee, including development of governance procedures, meeting cadences, and role definitions.
  • Lead the phased implementation of C.A.S.E.’s IT Strategic Plan, translating priorities into achievable projects and coordinating with leadership to align resources, timelines, and progress tracking.
  • Contribute to the development and review of internal technology-related policies (e.g., acceptable use, data classification, remote access) in collaboration with HR, Legal, and department leads.
  • Partner with HR to incorporate IT systems, policies, and digital literacy into employee onboarding and offboarding processes.
  • Provide informal coaching and mentorship to staff on the responsible use of digital tools, process automation, and change management practices.
  • Actively participate in internal IT planning workshops, cross-functional learning events, and agency knowledge-sharing sessions.
  • Monitor nonprofit technology trends, compliance requirements (e.g., HIPAA, data privacy), and AI policy developments to provide informed guidance to leadership.
  • Support the budgeting and justification of technology expenditures, including alignment with grant requirements and funder expectations.
  • Ensure digital tools and platforms follow accessibility best practices and promote inclusive, equitable user experiences for both staff and clients.
  • Maintain professional development by engaging in ongoing learning opportunities, including certifications, webinars, or nonprofit tech forums.
  • Perform other duties as assigned in support of IT operations or broader organizational initiatives.
