Program Support Specialist

Full Time: 32 hours per week
Starting Hourly Wage: $31.49
Current Benefits: Personal Time Off and Holidays are paid upon hire. Health Benefits, Simple IRA are paid on the first of the month after sixty days of employment.
All employment is dependent upon grant funding and can be terminated dependent upon funding, county, state, and federal budgets.
Example of Duties
Office Coordination
Support Operations Coordinator with the daily operation of the office.
Open and distribute all mail appropriately.
Provide clerical support to all CNVC programs.
Maintain communication with staff regarding agency changes, procedures, etc.
Review and update Office Procedures Manual as needed.
Coordinate thank you letters to donors, for all in-kind receipts.
Assist Operations Coordinator in ordering office supplies and maintain inventory.
Coordinates office cleaning, maintenance, and organization.
Leads agency event planning.
Direct Services
Provides back up to crisis intervention, crisis calls, direct services and client referrals.
Provides back up to prepare Temporary Restraining Orders, Orders After Hearing, and other related court documents.
Maintain relationship with Answering Service including problem solving, calendar changes, office closure, etc.
Human Resource Support
Assist all staff in the documentation of staff training and development.
Prepares and implements job announcements and advertising to obtain qualified candidates. Assists EMTs and /or coordinators with setting up interviews and writing response letter; may participate in interviews.
Assists Leadership in the standardization of job descriptions.
Assists Leadership with new hire orientation to ensure new employee packet is explained and required paperwork is completed.
Assist the Account with benefit and insurance plans.
Assist Agency with conference/training including scholarship awards, registrations, and travel.
Maintain CNVC computer/equipment, storage and database.
Personnel claims, example: work comp, medical, etc.
Payroll
Production of payroll checks in Paychex.
Import payroll from Paychex into QuickBooks.
Timely payment of payroll liabilities (workers compensation, medical, life, dental, IRA, etc.) by due date.
Accounts Payable
Collection and maintenance of vendor W-9’s
Vendor setups and maintenance in QuickBooks
Entry in Certify of bills, credit card transactions and import into QuickBooks and record on internal servers
Production of vendor checks and e payments weekly.
Submission of report and checks to be cut to Accountant for approval.
Submission of checks to Co-Directors for signatures
Mailing of vendor checks
Maintenance of vendor paid files
Petty cash reimbursements and reconciliations
Credit card reconciliations
Assist Fiscal department with audit/review and grant paperwork as requested
Provide back-up support/coverage for fiscal and administration as needed
Sunshine House
Allocate expenses based on procedure to each unit for each type of utility
Provide a copy of the utilities bills to tenants
Record all payments by tenant of rent and utilities onto the Housing Program Chart
Balance Summary Sheet of unpaid bills for each tenant to QuickBooks balances
General Duties
Conduct accurate data collection, documentation, and reporting.
Participate in staff meetings, committees, trainings, education, conferences.
Participate in Guardian Council meetings as requested.
Participate in fundraising activities as requested.
Participate in Crisis Intervention Training as requested.
Commitment to contributing to the operation and growth of the agency by taking on administrative/operational tasks and providing leadership as appropriate.
Work collaboratively with staff, Guardian Council, volunteers, and community.
General Qualifications
A minimum of two years experience in bookkeeping.
Advanced skills in accounting software (QuickBooks or similar)and Microsoft office software programs.

Requirements
Reliable transportation, a valid California Driver’s License, Proof of Auto Insurance, and a current DMV printout, if requested.
At the expense of CNVC, employee must be able to pass background check, TB test and other required immunizations, if working directly with children or clients.
Complete required CNVC approved communication and/or personal growth trainings
Work in a collaborative fashion with a diverse population, staff, volunteers, Guardian Council, clients, community members, and organizations.
