Position Summary
The Administrative Assistant plays a key role in supporting the company's office and field operations. This position is responsible for handling administrative tasks, coordinating schedules, assisting with customer communication, and supporting management with documentation and organization. The ideal candidate is organized, professional, reliable, and able to manage multiple tasks in a fast-paced environment.
Key Responsibilities
- Answer and route incoming phone calls, emails, and customer inquiries in a professional manner.
- Schedule appointments, estimate visits, and coordinate calendars for management and field crews.
- Maintain accurate customer records, job files, invoices, and service documentation.
- Assist with data entry, filing, and organization of digital and paper records.
- Prepare basic reports, work orders, and internal documents as needed.
- Support invoicing, billing, and payment tracking (training provided if needed).
- Communicate with vendors, suppliers, and subcontractors regarding orders and scheduling.
- Monitor office supplies and place orders when necessary.
- Assist with basic HR tasks such as onboarding paperwork and employee records.
- Ensure confidential information is handled securely and professionally.
Qualifications
- Previous experience in an administrative, office assistant, or customer service role preferred.
- Strong organizational and time-management skills.
- Basic computer skills, including email, word processing, and spreadsheets.
- Clear verbal and written communication skills.
- Professional attitude and customer-focused mindset.
- Ability to multitask and prioritize responsibilities effectively.
Pay: $3, $4,300.00 per month
