As a key member of our administrative team, you will coordinate client intake, manage provider schedules, assist with office operations, and help ensure that clients receive outstanding support from their first phone call through their ongoing care.
Please Note: This is an in-person position. Remote work is not available.
Position Summary
Client Intake & Scheduling
- Serve as the primary point of contact for prospective and current clients
- Guide new clients through the intake process
- Schedule appointments for new and existing clients
- Maintain accurate provider schedules and appointment calendars
- Confirm appointments and communicate important information to clients
- Resolve scheduling conflicts and accommodate client needs when possible
Administrative Support
- Answer phones and respond to client inquiries with professionalism and empathy
- Maintain accurate client records and documentation
- Assist with reports, correspondence, and administrative projects
- Coordinate communication between clients, clinicians, and insurance providers
- Manage office supplies and inventory
- Support daily office operations to ensure efficiency and organization
Office Maintenance
- Maintain a clean, welcoming, and professional office environment
- Organize reception and common areas
- Restock office and kitchen supplies
- Assist with light cleaning and office upkeep as needed
What We're Looking For Required Qualifications
- High school diploma or equivalent
- Previous administrative, customer service, or office support experience
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Ability to maintain confidentiality and handle sensitive information
- Strong attention to detail and accuracy
- Professional demeanor and positive attitude
Preferred Qualifications
- Experience in healthcare, mental health, or medical office settings
- Experience with scheduling software or electronic health records (EHR)
- Knowledge of HIPAA requirements
- Experience handling high-volume phone calls and client communications

Compensation
- Starting wage: $22.00/hour
- Annual wage increases of $1.00/hour on employment anniversary, up to $25.00/hour
- Quarterly performance bonus opportunities after six months of employment
- Overtime paid according to applicable law
