Overview:
Celtic Marine & Logistics is seeking a proactive and detail-driven Contracts Coordinator. This key role ensures the accuracy, timeliness, and integrity of contracts, proposals, and logistics documentation. The ideal candidate will be organized, communicative, and capable of managing multiple priorities in a fast-paced logistics environment.
Key Responsibilities:
Contract & Proposal Management:
- Prepare, review, and issue sales proposals, contracts, fixture notes, and amendments as directed by the Sales team.
- Generate and distribute RFQs (Requests for Quotes) to vendors and track responses.
Customer & Vendor Communication:
- Communicate directly with customers and vendors to resolve contract discrepancies, finalize terms, and deliver executed documents.
System & Data Entry:
- Maintain accurate records in the Shipping System, including barge, stevedoring, and ocean freight orders.
- Set up and manage accounts for customers, vendors, and locations within internal systems.
Reporting & Organization:
- Maintain digital and hard copy filing systems for all contracts and supporting documentation.
- Create, refine, review and distribute internal reports.
- Assist with sales presentation materials and booklets for internal sales meetings.
Qualifications:
- 5 years in a logistics contracts, sales support or logistics-related role required. Marine experience preferred.
- Excellent attention to detail with strong organizational and time management skills.
- Proficiency in Microsoft Office Suite and enterprise-level logistics or CRM systems.
- Effective communication skills (written and verbal).
- Ability to prioritize tasks and work independently with minimal supervision.
