We are seeking a Production Coordinator to serve as the logistical and operational backbone of our live, remote, and in-person video productions. In this role, you aren’t just assisting on sets; you are the central hub of the production cycle, balancing high-level resource planning with hands-on field execution. You will be responsible for the "gears" that keep our creative engine running, ensuring that every project moves from a calendar entry to a polished final deliverable without a hitch.
You will spend your time navigating the intersection of office-based strategy and on-site reality—managing freelance crews and complex production schedules one day, and overseeing location scouting, catering, and live Quality Control (QC) the next. This position is built for a proactive problem-solver who can maintain a bird’s-eye view of multiple projects while ensuring no detail is missed on the ground. Responsibilities:
- Works in conjunction with the live and creative Production Managers to coordinate the overall team's production schedules/calendars and keep the team apprised of upcoming productions and other pertinent deadlines.
- Assist producers in scheduling ingest meetings, as well as other project related meetings, defining resource needs and booking/shipping production equipment.
- Take notes and capture key project takeaways during meetings, as needed.
- Assist in assigning production resources to live, remote and in-person productions.
- Assist in the planning and running of the weekly live and creative production meetings.
- Manage staff augmentation with external vendors and secure freelance crew, as needed ensuring adequate coverage per the scope of production.
- Maintain budgets and track billing for productions, including projected related hours and expenses.
- Support producers in coordinating participants/interview subjects.
- Support producers in securing and confirming production locations, as needed.
- Coordinate crew meal orders and craft service, as needed.
- Conduct Quality Control (QC) checks during live productions.
- Utilize various project management platforms and systems to assist in documenting, updating project notes and keeping track of assigned tasks for all projects.
- Able to act as partner liaison and provide clear communication regarding deliverables and deadlines, be an avid problem solver able to calmly resolve issues and respond to short-notice requests.
- Leads by example, able to on-board and train interns and contractors on team culture and etiquette.
- A minimum of 2-3 years' experience in film/video production management, in live production or event management.
- Sufficient knowledge of live event and video production to be able to understand the basic processes and procedures, quickly learn jargon and expected norms in addition to assigning appropriate personnel and equipment.
- Excellent verbal and written communication skills.
- Determined multi-tasker with ability to juggle numerous demands and projects simultaneously, as well as apply changing sets of criteria in various circumstances.
- Welcoming demeanor and works well with a diverse range of people including creatives, technicians and managers.
- Team player and client service minded individual with a positive attitude, attention to detail and the willingness to learn how to best support each member of the team from inception to completion of a project.
- Skilled in anticipating needs of and providing solutions for production staff.
- Robust skills with Google Docs/Sheets/Calendar/Slides or Word/Excel/Calendar/Powerpoint and project management tools.
