We are looking for a highly organized, detail-oriented Jewelry Production Assistant to join our team in New York City. This multifaceted role combines hands-on diamond operations, administrative support, production coordination, and front-desk responsibilities. The ideal candidate has experience with diamond identification, thrives in a fast-paced environment, and enjoys supporting both daily operations and production workflows.
Key Responsibilities
Diamond & Inventory Operations
- Process product, including creating new jobs and updating records in the internal system
- Handle physical diamond and jewelry — labeling, logging, filing, and dispatching as needed
- Upload and organize invoices with accurate notes in the company system
- Manage and maintain accurate daily records
Shipping & Logistics
- Accurately pack and prepare outgoing shipments
- Create shipping labels and coordinate deliveries
Production Support & Coordination
- Monitor and track orders currently in production
- Liaise with vendors to ensure timely delivery and maintain vendor performance standards
- Help manage lead times and resolve any issues that could impact production deadlines
- Support the resolution of quality concerns and coordinate solutions with relevant teams
- Assist with customer-driven order changes by collaborating with Sales and Production teams
Office & Reception Duties
- Serve as the first point of contact for clients and visitors
- Answer and direct incoming phone calls with professional etiquette
- Receive, log, and unpack incoming deliveries
- Order and track office and operational supplies
Qualifications
Required
- 1 year of experience in diamond grading or diamond identification via microscope
- Experience in an office setting
- Strong attention to detail and accuracy
- Excellent organizational and multitasking abilities
- Professional written and verbal communication skills
- Comfort working with administrative systems and digital file management
- Ability to work independently as well as collaboratively within a team
Preferred
- Prior experience in fine jewelry production or operations
- Familiarity with jewelry design terminology and production processes
- Advanced Excel/spreadsheet skills and basic data analysis experience
What We Offer
- Salary: $50,000 – $65,000 per year

This is a full-time, in-person position based in New York City.
