POSITION TITLE: Work Order Coordinator
DEPARTMENT: Facility Maintenance
DIVISION: Business Division
POSITION REPORTS TO: Director of Facility Maintenance
FLSA STATUS: Non-exempt, Full-Time, (12 month 2080) Staff
POSITION SUMMARY DESCRIPTION:
The Work Control Coordinator is the central hub for customer service within the department, ensuring a smooth, responsive, and well-organized workflow. This role receives and triages all service requests, prioritizing and assigning work orders in line with departmental policies. The Coordinator supports staff with work order processing, manages purchasing for goods and services tied to those orders, and assists in developing and maintaining preventive maintenance schedules. The position also helps track billable expenses for other departments and contributes to the creation and upkeep of documents, reports, spreadsheets, and presentations. Overall, this role keeps the operation running efficiently while delivering exceptional customer service in a fast-paced office environment.
ESSENTIAL FUNCTIONS:
- Assist customers and staff through written and verbal communications.
- Uses Computerized Maintenance Management System (CMMS) to:
- Receive, prioritize, and assign work orders.
- Communicate urgent/emergency needs to designated team members.
- Assign departmental accounts.
- Review and close completed work orders.
- Generate recommended charges and adjustments from closed work orders.
- Monitor open work orders and clear old work orders from the system.
- Assist others with using the CMMS.
- Maintain Active User List within CMMS.
- Provides support for creation and maintenance of preventive maintenance schedules.
- Assist with maintaining files and records related to regulatory compliance.
- Assists with project related correspondence, schedules, budgets and documentation.
QUALIFICATIONS:
- Ability to communicate well with people in a friendly, efficient, and knowledgeable manner.
- Organized with attention to prompt, timely, professional service.
- Knowledge of campus programs and personnel would be a plus.
- Familiar with MS office programs including Word and Excel.
- Ability to maintain confidentiality.
- Ability to prioritize multiple tasks in a fast-paced office environment
REQUIRED MENTAL/PHYSICAL ABILITIES:
- Work requires routine application of several established procedures and practices where basic analytic ability is required.
- Light physical effort; occasional stooping or bending; incumbent is seated most of the time, however, occasional lifting, carrying or otherwise moving of lightweight objects (up to 25 pounds) is required.
- Subject to inside environmental conditions, also to moderate temperature changes.
- Work deals largely with preparing and analyzing data, computer terminal use.
- Filing, keyboarding, copying, hearing, listening, and speaking skills are required. The ability to manipulate by hand keyboards, switches, and buttons is required.
