POSITION REPORTS TO: Director of Campus Security
FLSA STATUS: Staff, Non-exempt, Full-Time, (12-month 2080 annual hours)
SUMMARY OF DUTIES:
The Administrative Assistant & Special Services Coordinator supports the Campus Security office by overseeing the daily flow of administrative and customer-facing services. This role manages core office operations such as billing, invoice processing, record keeping, ordering supplies, and maintaining inventory for IDs and related materials. It serves as a primary point of contact for the campus community, assisting with vehicle registrations, fleet driver licensing, parking and traffic inquiries, and the coordination of service calls to on-duty security staff.
The position also administers several specialized services, including FBI/BCI background checks for departments across the University, production of ID cards and specialty badges, and organization of lost and found items with appropriate follow-up or disposition. Additional responsibilities include entering proximity data for access control updates, issuing bike registrations and fishing permits, and preparing passport photos and packets for University-related travel. During major campus events, the coordinator provides added support to meet increased service needs and performs other duties that contribute to the effective functioning of the Campus Security office.
QUALIFICATIONS:
Customer service oriented; projects a positive image and good communication skills.
One year of education or training beyond high school or the equivalent of work experience in a public-oriented environment.
General computer skills in Microsoft Word, email, and Excel.
Good clerical and typing skills – 30 to 50 words per minute.
Ability to deal with multiple tasks simultaneously.
REQUIRED MENTAL/PHYSICAL ABILITIES:
Work requires the routine application of several established procedures and practices where basic analytic ability is needed. Questions or situations outside of the established procedures and practices are referred to a supervisor.
Light physical effort; occasional stooping or bending; incumbent is seated most of the time; however, occasional lifting, pushing, carrying, or otherwise moving of lightweight objects (up to 25 pounds) is required.
Subject to inside environmental conditions, also to moderate temperature changes.
Work deals largely with preparing and analyzing data, computer terminal use, and reading small type.
Talking, hearing, fingering, grasping, and repetitive motions are required.
