The Support Services Assistant provides comprehensive administrative support to CEDARS Administration and Programs at the Pioneers office location. This position is responsible for maintaining confidential records, performing accurate data entry, managing electronic signatures within the CEDARS client record management system, answering and directing telephone calls, and providing a variety of administrative and operational support services to ensure the efficient functioning of the organization. Work schedule Monday through Friday 8:00am-4:30pm.
- High school diploma or equivalent
- Valid Driver’s License
- Previous administrative support experience preferred.
- Excellent written and verbal communication skills, with the ability to communicate professionally and effectively with a diverse range of individuals.
- Strong organizational, time management, and multitasking abilities.
- Ability to work independently with minimal supervision in a fast-paced environment.
- High attention to detail and commitment to maintaining confidentiality.
- Proficiency in Microsoft Office applications and the ability to learn new software and systems quickly.

- Maintains the highest level of confidentiality regarding employee and client information and complies with all applicable HIPAA regulations and organizational policies.
- Provides general administrative and clerical support for CEDARS programs and services, including answering and directing phone calls, preparing correspondence, scheduling meetings, reserving conference rooms, receiving deliveries, performing data entry, scanning and uploading documents, and conducting basic research.
- Serves as a primary office resource by providing information, responding to inquiries, troubleshooting office-related issues, and addressing staff and visitor requests in a timely and professional manner.
- Operates and maintains standard office equipment, including copiers, printers, scanners, telephone and voicemail systems, computers, and other office technology.
- Provides exceptional customer service to clients, visitors, community partners, and staff while maintaining a professional, welcoming, and positive office environment.
- Maintains organized filing systems and accurate records; updates documentation, prepares reports, performs data entry, processes vouchers, and assists with administrative tracking and reporting requirements.
- Reviews and verifies documentation for completeness and accuracy before securely uploading confidential client records—including background checks, medical records, court documents, service plans, assessments, and other sensitive information—into the client information management system.
- Ensures all electronic and physical records are maintained in accordance with organizational standards, legal requirements, and confidentiality expectations.
- Assists with special projects and other duties as assigned to support efficient office operations and program needs.
