Executive Assistant & Marketing Coordinator

Cedar Cove Ranch | Eustace, TX

Full-Time | On-Site

$45,000–$50,000 annually, based on experience and qualifications

60% Executive Assistant | 40% Marketing

About the Role

Cedar Cove Ranch is seeking a highly organized, capable, and creative Executive Assistant & Marketing Coordinator to work directly with the President while supporting our marketing, brand, and business initiatives.

This is a hands-on role with meaningful responsibility across two key areas of our business: executive support and marketing.

We're looking for someone who can keep the President and key priorities organized, anticipate what needs to happen next, communicate professionally, follow through without constant oversight, and bring original thought, creativity, and good judgment to our marketing efforts.

This is not a traditional desk-only Executive Assistant position. One day you may be coordinating the President's schedule and preparing for meetings; the next you may be capturing content during a corporate retreat, helping coordinate a VIP guest experience, supporting an event, or developing an idea for an upcoming marketing campaign.

The right person will enjoy variety, responsibility, problem-solving, and being part of a fast-moving hospitality and outdoor business.

Executive Assistant Roles & Responsibilities

  • Manage the calendar, meetings, appointments, and priorities.
  • Coordinate meetings, travel, reservations, itineraries, and logistics.
  • Manage deadlines, reminders, follow-ups, and action items.
  • Draft and proofread emails, presentations, proposals, and correspondence.
  • Prepare meeting materials and ensure action items are followed through to completion.
  • Communicate with leadership, clients, vendors, employees, and business partners on behalf of the President.
  • Organize documents, contacts, files, and executive information.
  • Ability to create and update Excel spreadsheets and formulas to support optimization
  • Support special projects, partnerships, events, and new business initiatives.
  • Anticipate needs and help ensure important details don't fall through the cracks.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Assist with occasional personal errands and other executive support needs.

Marketing Responsibilities

  • Help plan, create, and manage content for Instagram, Facebook, LinkedIn, and other platforms.
  • Develop original marketing and content ideas that reflect the Cedar Cove Ranch brand and guest experience.
  • Capture quality photos and short-form video of ranch experiences, events, wildlife, hospitality, hunting, and behind-the-scenes moments.
  • Create and edit Reels, Stories, posts, and other digital content.
  • Write engaging social media captions and marketing copy in a genuine, human voice.
  • Assist with managing the social media and content calendar.
  • Proactively recognize stories and content opportunities happening around the ranch.
  • Think through the purpose, audience, message, and desired outcome behind marketing rather than simply producing content.
  • Maintain and organize our photo and video library.
  • Assist with email marketing, website content, presentations, brochures, and sales materials.
  • Coordinate with photographers, videographers, designers, advertising partners, and other marketing vendors.
  • Assist with trade shows, ranch events, partnerships, and promotional campaigns.
  • Track marketing performance and use results to help determine what is and isn't working.
  • Help maintain a consistent, polished, luxury brand across all marketing channels.

Executive Skills

  • Highly organized with exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Excellent follow-through and time-management skills.
  • Ability to manage multiple priorities and deadlines.
  • Proactive and able to anticipate needs rather than always waiting for direction.
  • Strong logical thinking, problem-solving skills, and sound judgment.
  • Able to evaluate a situation, determine what makes sense, and recommend a solution.
  • Professional, dependable, trustworthy, and discreet.
  • Comfortable working directly with the President and senior leadership.
  • Confident communicating with executives, clients, vendors, employees, and VIP guests.
  • Proficient with Microsoft Office and/or Google Workspace.
  • Comfortable learning and using new technology and systems.

Marketing Skills

  • Genuinely creative with the ability to develop original ideas and concepts.
  • Strong understanding of or experience with social media, marketing, branding, and content creation.
  • Able to think strategically about why we are creating something, not simply how to create it.
  • Strong writing skills and ability to communicate in an authentic brand voice.
  • Comfortable with Instagram, Facebook, LinkedIn, and short-form video.
  • Comfortable capturing quality photos and video using a phone or camera.
  • Canva or similar design experience preferred.
  • Photo and video editing experience is a plus.
  • Experience creating Reels, Stories, social posts, or other digital content.
  • Able to recognize strong stories and content opportunities without always being given an assignment.
  • Curious about what drives engagement, inquiries, bookings, and brand awareness.
  • Interest or experience in hospitality, travel, outdoor experiences, hunting, events, or luxury brands is a plus.

Creativity & AI

We embrace technology and expect our team to know how to use modern tools, including AI, effectively. But AI is a tool—not a substitute for creativity, critical thinking, or good judgment.

We are not looking for someone whose approach to marketing is simply entering a prompt and posting what comes back.

We want someone who can think for themselves, develop original ideas, understand our guests and our brand, ask good questions, challenge an idea when it doesn't make sense, and use technology to make great thinking better.

Who we are looking for:

We're looking for a capable, highly organized professional who is both creative and logical.

The right candidate:

  • Takes ownership and follows responsibilities through to completion.
  • Thinks ahead and anticipates what needs to happen next.
  • Is resourceful and looks for solutions.
  • Can take an idea, think it through, improve it, and execute it.
  • Is willing to offer an opinion or a better idea rather than simply agree.
  • Uses good judgment and common sense.
  • Maintains professionalism and discretion.
  • Can confidently shift between executive support and creative marketing responsibilities.
  • Pays attention to details while understanding the bigger picture.
  • Works independently while also being a strong team player.
  • Performs well in a fast-moving environment where priorities can change.
  • Is comfortable working in a ranch and outdoor environment.
  • Represents Cedar Cove Ranch professionally with guests, partners, vendors, and employees.

Education & Experience

  • Bachelor's degree in marketing, communications, business, hospitality, or a related field preferred.
  • 2-4 years of relevant professional experience preferred in executive/administrative support, marketing, communications, social media, or a combination of these areas.
  • Demonstrated ability to manage multiple priorities and responsibilities.
  • Strong computer and technology skills.
  • Valid driver's license and reliable transportation required.
