The Operations Associate supports the day-to-day execution of Cedar Gold Group's IRA operations, metals fulfillment, compliance, and client service functions. Working closely with the IRA Manager, team leads, custodians, and wholesalers, this role ensures applications are funded, trades and distributions are processed accurately, and clients receive timely, professional support. The position also carries recurring responsibilities across payroll administration and client reporting, and provides broad operational support to leadership. Success in this role requires strong attention to detail, organization, follow-through, and the ability to coordinate across multiple internal and external parties.
Daily ResponsibilitiesIRA Operations- Assist the IRA Manager by processing overflow applications and account requests.
- Support team leads with application follow-up, custodial call coordination, and client communication until funding is received.
- Monitor account funding status and notify brokers once funds have been received.
- Prioritize and process distribution requests, including both in-kind and liquidation distributions.
- Coordinate with custodians such as Accuplan, Entrust, and GoldStar to facilitate distributions.
- Execute purchase orders through wholesalers for liquidation requests.
- Complete and document client confirmation calls in accordance with compliance requirements.
- Execute client trades through wholesaler trading portals.
- Coordinate with wholesalers to initiate and complete metals fulfillment.
- Monitor fulfillment progress to ensure purchased metals are properly allocated within IRA accounts.
- Serve as the primary point of contact for issues related to sales orders, purchase orders, and fulfillment discrepancies.
- Update HubSpot with current metals fulfillment statuses and transaction updates.
- Manage incoming calls through the main company line and direct clients to the appropriate department or representative.
- Respond to client inquiries and assist with account-related questions as needed.
- Update the Junior Tracker spreadsheet with prior-day call activity and appointment scheduling metrics.
- Assist leadership with operational and administrative tasks as assigned.
- Process company payroll on a bi-weekly basis.
- Calculate employee compensation based on varying pay structures, including hourly wages, commissions, bonuses, and reimbursements.
- Verify payroll accuracy and ensure timely employee payments.
- Prepare and distribute monthly transaction updates to clients.
- Ensure transaction reporting is accurate and delivered within established timelines.
- Continue oversight of pending IRA funding, distributions, metals fulfillment, and outstanding client requests.
- Review operational workflows and address unresolved account or fulfillment issues.

- Verify reporting accuracy and coordinate timely delivery to all applicable clients.
- Collaborate with custodians, wholesalers, brokers, and internal departments to ensure efficient account processing and transaction completion.
- Provide operational support across IRA processing, compliance, fulfillment, payroll, and customer service functions.
- Assist executive leadership, including the COO, with special projects, operational initiatives, and miscellaneous business needs.
- 1β3 years of experience in operations, fulfillment, financial services, or a related administrative role; precious metals or IRA experience preferred.
- Familiarity with self-directed IRA custodians (e.g., Accuplan, Entrust, GoldStar) and wholesaler trading portals is a strong plus.
- Working knowledge of HubSpot (or a comparable CRM) and proficiency with spreadsheets.
- Strong written and verbal communication skills for client-facing and internal coordination.
- High level of accuracy, organization, and the ability to manage competing priorities and deadlines.
- Comfort handling sensitive client and payroll information with discretion and adherence to compliance standards.
