Job Summary:
The PRN Registration Clerk serves as the first point of contact for patients, visitors, and external parties within the Clinics, helping to create a welcoming and professional environment. This position is scheduled on an as-needed (PRN) basis to provide coverage based on clinic operational needs, staffing requirements, and patient volume.
The PRN Registration Clerk is responsible for patient registration, insurance verification, scheduling assistance, and financial collections. The position ensures that all patient demographic and billing information is accurately captured and processed in a timely manner. In addition, this position handles multi-line telephone systems, directs calls appropriately, and provides back-up administrative support to the clinical team.
A strong focus on confidentiality, professionalism, customer service, flexibility, and dependability is essential. PRN employees are expected to maintain appropriate availability, respond to staffing needs when able, and work collaboratively with the clinic team to support continuity of patient care.
Essential Functions:
- Strictly adheres to HIPAA and CMS regulations at all times.
- Greetings all patients and visitors with courtesy, professionalism, and empathy, ensuring timely and accurate registration.
- Prioritizes and responds to patients presenting with urgent medical needs promptly and appropriately.
- Accurately collects, verifies, and inputs patient demographic and insurance information into the system.
- Regularly audits information for accuracy to improve quality of service and data integrity.
- Answers and routes incoming calls via a multi-line phone system efficiently and courteously.
- Verifies insurance eligibility, authorization, and certification and communicates findings to the appropriate parties.
- Collects patient payments, including co-pays and deductibles, at the time of service and provides receipts/documentation.
- Provides coverage for registration and front-office functions as assigned based on clinic needs.
- Maintains flexibility in accepting PRN shifts and provides timely communication regarding availability and scheduled shifts.
- Reports to scheduled shifts on time and provides appropriate notice when unable to work an accepted shift.
- Assists with other administrative duties within the scope of the position as needed to support clinic operations and patient care.

Minimum Qualifications:
- Education/Experience:
- High school diploma or GED required.
- Minimum 2 years of healthcare or front-office experience preferred.
- Strong customer service background highly desirable.
- Previous experience in a medical office, clinic, hospital, or healthcare setting preferred.
Technical Competencies:
- Proficiency with computer systems; experience with EMR systems preferred.
- Familiarity with medical terminology strongly preferred.
- Competence with standard office equipment, including fax, copier, scanner, and printer.
- Ability to learn and utilize hospital and clinic registration, scheduling, billing, and communication systems.

PRN Position Expectations:
- This is a PRN, as-needed position and does not guarantee a minimum number of hours per week, pay period, or scheduling period.
- PRN shifts are offered or scheduled based on clinic operational needs, staffing requirements, patient volume, and employee availability.
- PRN employees are expected to communicate their availability accurately and in a timely manner.
- Once a PRN shift has been accepted or scheduled, the employee is expected to report as scheduled and follow the hospital's attendance and call-off policies.
- PRN employees may be required to work varying days and times, including different clinic shifts, based on operational needs.
- Continued PRN employment is dependent upon satisfactory job performance, adherence to hospital policies and procedures, dependability, and the ongoing staffing needs of the Clinics.
