About the Opportunity
A growing law firm is seeking an experienced Legal Operations Manager to oversee and optimize the firm’s day-to-day legal operations.
This role is for someone who understands how a law firm really runs from managing case lifecycles and deadlines to ensuring systems, calendars, and filings are executed with precision. You’ll be the operational backbone of the firm, ensuring attorneys and staff stay accountable, organized, and efficient.

Key Responsibilities
Operational Oversight
- Manage the day-to-day operational flow of the firm, ensuring all cases, tasks, and filings are moving on schedule and within established procedures.
- Build, document, and enforce workflows across all case stages from intake through demand, litigation, and resolution.
- Identify bottlenecks and implement solutions that increase efficiency, accuracy, and timeliness.
Systems & Process Management
- Design and manage operational workflows within the firm’s case management platform (Filevine, Clio, Litify, or similar).
- Build templates, automations, and task sequences that ensure every stage of the case process is standardized and tracked.
- Maintain operational dashboards and reporting tools to provide the Managing Partner real-time visibility into caseloads and productivity.
Calendar & Deadline Management
- Oversee and maintain firmwide calendars to ensure all statutory deadlines, court dates, and client obligations are accurately recorded and tracked.
- Implement calendaring systems to flag critical deadlines, including statutes of limitations, demand issuance, complaint filings, and hearing schedules.
- Audit deadlines weekly to ensure compliance and reduce risk exposure.
Legal Document Workflow
- Oversee the drafting, review, and timely filing of key legal documents such as demand letters, complaints, and responses.
- Ensure demand drafts are reviewed, approved, and sent out according to case timelines.
- Coordinate with attorneys and staff to ensure filings and service of process are completed accurately and on time.
Performance & Accountability
- Establish and track KPIs tied to case progress, demand completion, filings, and resolution timelines.
- Monitor workload balance across team members to maintain efficiency and accountability.
- Conduct regular operational reviews and report on firm performance metrics to the Managing Partner.
Communication & Coordination
- Lead daily or weekly team meetings focused on priorities, bottlenecks, and upcoming deadlines.
- Serve as the operational liaison between attorneys, paralegals, and support staff to ensure clarity of expectations and smooth handoffs.
- Maintain communication systems and reporting structures that ensure leadership always has a clear view of firm operations.
Qualifications
- 5 years of experience managing operations within a law firm or legal department.
- Deep understanding of legal process workflows including case intake, demand preparation, complaint drafting and filing, and court calendaring.
- Proven ability to manage statute of limitations deadlines, court schedules, and key filing dates.
- Hands-on experience with case management systems and legal operations software (Filevine, Clio, Litify, PracticePanther, etc.).
- Strong project management and organizational skills; able to implement systems and hold others accountable.
- Excellent communication skills and ability to coordinate across multiple roles and departments.
- Detail-oriented and proactive anticipates needs, solves problems early, and ensures nothing falls through the cracks.
