Position Summary: Manages the preparation and processing of payroll and taxes in accordance with IRS section 3504 of the IRS Code and state unemployment tax rules. Provide full management coverage of all payroll functions.
Tasks:
- Train, supervise, and provide leadership to payroll supervisor, payroll specialists, and tax specialists; prepare and monitor processes for payroll and accounts payable (with guidance from Finance Department).
- Responsible for planning and implementation of any new software required for payroll support.
- Supervise a payroll team to maximum performance within a high-volume payroll environment to ensure that payroll is completed timely to meet billing and tax filing deadlines.
- Perform highly technical work in preparation for and maintenance of an automated payroll system and other financial and statistical records and reports.
- Monitors payroll processes to ensure adherence to federal and state regulations and internal policies.
- Implement technical accounting principles and procedures.
- File or ensure all payroll tax deposits are balanced and deposited timely.
- Liaise with federal and state tax offices as necessary.
- Prepare and/or supervise preparation of the following federal and state tax filings. This list is subject to change in the event federal and state filing requirements are amended; 941, 941 Schedule B, 940, SUTA quarterly reports, W-2s
- Maintain all consolidated payroll and tax related data to assist in quarterly reconciliation of cross company data.
- Supervise the reconciliation of payroll and tax withholding records; the deposit of Federal income tax withholdings; provide support necessary for preparation of Federal W-2 forms and data; reconcile and submit Social Security and Medicare documents. Train and assign responsibilities to Payroll Supervisor
- Keep up-to-date with changes in federal and state payroll regulations, training staff as needed.
- Respond to any correspondence or notices regarding state or federal tax issues, keeping upper management advised of any state or federal notices.
- Keep up-to-date with changes to all software used by Payroll Department and train staff as necessary.
- Observe confidentiality policies at all times.
- Comply with federal, state, & company policies, procedures, and regulations.
