Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
- Organize and file documents systematically, ensuring easy retrieval and confidentiality of sensitive information
- Assist with calendar management, scheduling appointments, meetings, and coordinating events for team members or executives
- Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entry to ensure financial accuracy
- Provide exceptional customer service by addressing inquiries promptly and supporting client or patient interactions in a courteous manner
- Handle clerical tasks including proofreading correspondence, managing mail distribution, and maintaining office supplies inventory
Experience
- Prior office experience demonstrating strong organizational skills and proficiency in computer literacy tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
- Experience with multi-line phone systems, front desk operations, or receptionist duties in a fast-paced environment
- Bilingual abilities are highly valued to support diverse client or patient populations
- Proven track record in administrative roles involving data entry, filing systems, and customer support functions
- Knowledge of office management procedures including calendar management, appointment scheduling, and document proofreading
- Experience working as a dental or medical receptionist or personal assistant is a plus but not required
- Strong time management skills with the ability to prioritize tasks efficiently while maintaining excellent attention to detail
