Overview
We are seeking a highly organized and proactive Project Coordinator to support the successful execution of Plan & Spec projects, Special Projects, and service-related work across multiple trades. This role acts as the central hub of communication between Project Managers, Field Supervisors, Foremen, customers, vendors, and subcontractors to ensure schedules, resources, and project requirements are aligned for smooth and efficient delivery.
Responsibilities
- Serve as the primary point of contact between Project Managers, Field Supervisors, customer site contacts, vendors, and subcontractors.
- Support the execution of Plan & Spec and Special Projects by ensuring information flows accurately and on time.
- Coordinate site access, work schedules, on-site requirements, and project expectations with all stakeholders.
- Develop, maintain, and communicate daily/weekly/long-term schedules for field crews across multiple departments.
- Align labor, materials, subcontractors, and equipment to meet project schedules and deliver quality results.
- Coordinate manpower assignments with Project Managers, Assistant Project Managers, and Foremen to optimize field utilization.
- Track real-time labor allocation and adjust proactively as priorities shift.
- Assist in forecasting labor needs based on project backlog and upcoming work.
- Monitor upcoming material and equipment needs to ensure availability and minimize project delays.
- Manage the dispatching of field crews and ensure they have the correct job information, tools, and materials.
- Support Foremen with daily/weekly planning to reduce downtime and maximize field productivity.
- Respond quickly to jobsite requests for additional labor, materials, or resources as conditions evolve.
Qualifications
- Prior experience in project coordination in mechanical, electrical, plumbing, HVAC, or specialty trades
- Strong understanding of field operations, jobsite processes, and construction workflows.
- Excellent organization and time-management skills; able to manage multiple projects simultaneously.
- Proficiency with scheduling tools, project management software, and Microsoft Office Suite.
- Ability to work in a fast-paced environment and adapt to shifting priorities.
Job Type: Full-time
Pay: $30.00 - $37.00 per hour
Expected hours: 40 per week
