General Job Description for: Site Administrative Assistant
This position provides administrative support to the Site Manager and office staff while ensuring smooth day-to-day operations of the site office. The Site Administrative Assistant serves as a key point of contact for internal teams, visitors, and vendors, helping maintain a professional and efficient work environment. Job Duties and Tasks for: Site Administrative Assistant
- Handle general office tasks including filing, report generation, preparing presentations, and ordering supplies
- Answer, screen, and direct incoming phone calls while providing basic information as needed
- Coordinate mail services, including FedEx, UPS, and other deliveries
- Schedule appointments and maintain calendars to prevent conflicts
- Maintain professional communication with employees, vendors, and customers
- Resolve administrative issues and respond to general inquiries
- Maintain both electronic and hard copy filing systems
- Assist the Site Manager with various administrative duties as assigned
- Support special projects, meetings, and company events as needed
- Provide cross-functional support in areas such as HR/payroll, AP/AR, and accounting when needed
- Strong communication skills (verbal and written)
- High level of organization and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Professional demeanor with strong customer service skills
- Ability to handle confidential information with discretion
- Strong problem-solving and organizational abilities
- High School Diploma or equivalent required
- College degree preferred
- Previous administrative assistant or receptionist experience preferred
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Experience with Vista or Viewpoint software is a plus
- Basic math skills (addition, subtraction, multiplication, division) required
