Description Pensions and Investments has a dynamic opportunity to join the their conference team. The Conference Marketing & Event Coordinator will support speaker logistics and conference marketing efforts and, along with other conference and event activities. This role works cross functionally across departments to ensure that P&I is delivering the highest level of service to all our client constituents across all conference and industry events. Key responsibilities of the Conference Marketing & Event Coordinator, P&I Conferences include, but not limited to. Speaker Management and Fulfillment Oversee speaker onboarding to include collecting speaker bios and photos for use in marketing materials Create, send, and track status of speaker agreements Process speaker honorariums and travel expenses Make speaker travel arrangements, including car service and coordinating hotel requirements with conference manager Update and manage the speaker master roster and speaker listing on event websites Create and maintain a speakers database Create and send call for presentation database to all potential speakers, previous speakers, and former exhibitors asking for session submissions Conduct post event evaluation analysis and report on speaker feedback. Document lessons learned and established best practices for future conferences. Where relevant, manage on-site speaker support Conference Marketing Support In conjunction with Marketing Manager, support daily marketing operations for events including email campaigns, social and campaign metrics Assist in the development of campaign assets and collateral including copy and creative for emails, social and speaker banners, search, and websites Update and loading information as needed onto event websites Support awards marketing campaigns including create outreach plan, timelines, create emails and social banners, execute and measure campaign. General Support team with pre-show planning and onsite execution Assist in coordination of event and shipping needs with conference team and prepare shipments to conference Assist in maintaining inventory of supplies, P&I branded items, ordering when necessary. Other projects as assigned. On-Site Responsibilities Must be available to travel to assigned conferences. Manage responsibilities from inception to on-site, ensuring positive customer experience. Basic Qualifications Bachelor’s degree, preferably in marketing, business, communications, or related field Minimum of 1-3 years of conference, marketing, or project management experience. Proficient MS Office skills including Outlook, Excel, Word, and PowerPoint Skilled at cultivating relationships Exceptional client services Strong project management skills with the ability to manage multiple projects simultaneously Effective written and verbal communication skills Ability to travel Preferences Financial Services experience a plus Email marketing, photoshop and in-design experience a plus. Pay Transparency Disclosure: The estimated salary range for this position is $50,000 to $75,000. The final salary offering will take into account a wide range of factors, including experience, accomplishments and location. The salary range provided should not be considered as a salary limit or cap.
