Role Description
This is a full-time on-site role for a Purchasing Agent, located in Coral Gables, FL.
Work Schedule
- 40-45 hours per week (8:30am-5pm, M-F).
- After hours may be necessary on occasion for events or to meet deadlines.
- Lunch meetings and events outside of the normal working hours are required by the position.
- This is primarily an office-based role with occasional interaction with field personnel and construction sites.
Requirements
- 4 years of Purchasing or Construction experience in residential homebuilding.
- Network of preferred subcontractors.
- Preferred experience with construction estimating.
- Ability to read and interpret construction plans and related documents.
- Strong Analytical Skills to assess costs, performance, and process improvements.
- Ability to manage multiple tasks efficiently.
- Strong aptitude to learn new software as needed.
- Excellent communication and negotiation skills for vendor interactions.
- Must be organized, detailed, self-motivated and service oriented.
- Takes initiative and displays a sense of urgency – is highly responsive to business needs and unexpected situations that emerge.
- Be highly approachable and display a positive approach.
- Spanish and English conversational and written.

Responsibilities:
Vendor & Trade Partner Management
- • Research, qualify, and recruit subcontractors and suppliers.
- • Establish and maintain strong relationship with suppliers.
- • Monitor subcontractor performance in cost, quality, service, etc.
- • Resolve subcontractor disputes including price discrepancies, invoice issues and contract conflicts.
- • Ensure all subcontractors meet insurance and company requirements.
Bidding & Contract Negotiation
- • Prepare and manage bid packages including scope of work and specifications.
- • Maintain a minimum of 5 competitive and qualified bids for each trade category.
- • Analyze bids and recommend the most qualified and cost-effective subcontractors.
- • Negotiate pricing, contract terms, and payment schedules.
- • Ensure contracts and scopes accurately reflect project specifications.
Cost Management & Estimating
- • Analyze material and labors cost using estimating techniques and invoices.
- • Verify costs and quantities on proposals.
- • Identify opportunities for cost saving and value engineering.
- • Monitor commodity fluctuations and evaluate impacts on budgets.
- • Assist with options pricing.
Purchasing System Management
- • Create and maintain purchase orders and contracts in system.
- • Maintain accurate cost data and vendor information in system.
- • Update materials, takeoffs, specifications, and pricing documentation.
Reporting & Compliance
- • Generate weekly, monthly, and quarterly reports.
- • Maintain accurate documentation for contract and purchasing records.
Cross Department Collaboration
- • Work closely with construction, sales, design, accounting, and land development teams.
- • Support plan updated, new community setups, and product changes.
- • Participate in budget reviews.
- • Perform other duties as assigned.
