CBS² is seeking an energetic, highly motivated, detail-oriented, self-starter to join our team as a Administrative Grant Specialist. This is a full-time role based out of any of our five locations, with preference to the Chippewa Falls, WI location.
The Administrative Specialist will support grant writing, funding administration, and project bidding coordination. This role works closely with internal teams, clients, contractors, and funding agencies to help keep grant requirements, construction administration items, and project timelines organized and on track. The Administrative Specialist plays an important role in supporting high-quality documentation, clear communication, and CBS²’s commitment to collaboration, client service, and community impact.
Duties & Responsibilities:
- Research and identify grant and funding opportunities for clients and project teams.
- Prepare and submit grant proposals, funding applications, and required supporting documentation.
- Coordinate with internal staff, clients, funding agencies, and resource contacts to gather project information and meet application requirements.
- Support grant administration after award, including reporting, fund requests, correspondence, payroll review/tracking, and compliance documentation.
- Monitor grant requirements from pre-bidding through construction closeout to help ensure funding guidelines are followed.
- Track grant activity, deadlines, metrics, and reporting requirements.
- Lead or support collaboration calls related to grant funding, administration, and project requirements.
- Coordinate project specifications, bidding documentation, bid openings, and related administrative tasks.
- Prepare and coordinate conformed contracts and related project documentation.
- Facilitate or support bid openings, construction meetings, and other project coordination needs.
- Provide administrative support to municipal teams and other technical groups, including WisDOT construction, architecture, and related service areas as needed.
- Perform other duties as assigned.
Requirements & Qualifications:
Required Qualifications:
- Experience in administrative support, grant administration, funding coordination, project coordination, technical writing, or a related role.
- Strong written communication skills with the ability to organize, format, proof, and submit high-quality documentation.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Strong attention to detail with the ability to manage deadlines, requirements, and multiple priorities.
- Ability to communicate clearly and professionally with clients, contractors, funding agencies, and internal teams.
- Ability to work both independently and collaboratively in a team-focused environment.
Desired Skills & Experience:
- Advanced degree in a related field or equivalent professional experience.
- Experience researching, writing, submitting, or administering grant applications.
- Familiarity with municipal projects, construction administration, bidding processes, or public funding requirements.
- Experience coordinating specifications, bid documents, conformed contracts, or construction-related documentation.
- Exposure to funding agency reporting, reimbursement requests, compliance tracking, or post-award grant administration.
- Experience supporting engineering, architecture, construction, municipal, or professional services teams.
- Strong interest in expanding administrative support across multiple technical groups and project types.
